About The Position

The 401(k) PEP Operations Specialist acts as a liaison between the 401k provider, clients and TPA to resolve 401k Operation issues and make sure the plan is being set up and administered correctly and efficiently. Ensures all client requests are handled effectively, timely and accurately and prepares the integration and conversion process. Partner with and provide exceptional customer service to our customers who are part of our 401(k) Pooled Employer Plan. This position requires diligent effort, acting as the liaison between the 401k provider, the TPA and the PEP Implementation team to make sure the plan is set up accurately, converted and integrated. They also work directly with the clients to resolve 401k related issues. This includes ensuring all client requests are handled effectively, timely and accurately. This position is responsible for preparing the set up for integration and handling day-to-day retirement plan administration for the adopters under our plan. This member must be able to manage and prioritize multiple and competing deadlines in addition to displaying good time management. A seasoned, experienced professional with a full understanding of area of specialization. Emerging understanding of broader organizational context and goals. Resolves a wide range of issues in creative ways. This job is a fully qualified, career-oriented, journey- level position. Works on problems of diverse scopes where analysis of data requires evaluation of identifiable factors. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Networks with senior internal and external personnel in own area of expertise. Normally receives little instruction on day-to-day work, general instructions on new assignments.

Requirements

Typically requires a minimum of 5 years of related experience with a Bachelor's degree; or
equivalent work experience.

Responsibilities

Build accumulators for censuses
Works with integration team to make sure the specifications on the plan are accurate and ready for conversion
Manages timely deposit of contribution files
Build Census Files for implementation or audits as needed
Research discrepancies and resolve inaccuracies/variances found on the audits
Set up loans in the payroll system and research loan discrepancies
Research/pull censuses data and provide to TPA
Research file export/transmission history
Handle on boarding and off boarding of Clients supporting the team of advisors on the plan
Set up contributions in the payroll system
Work and correct file errors
Double check plan documents before submitting to installation
Collect Company Data form (yearly) and enter information in the provider's system for non- discrimination testing.
Provide customer support answering questions from Employees and Employer
Responsible for file conversions
Validate benefit plan configuration accuracy and alignment with provider specifications and partner with internal benefits team and implementation teams on plan builds, updates, and related questions when necessary
Manage customer escalated issues and drive resolutions
Ensure deadlines are met (deposits, plan starts, contribution changes, enrollments)
Properly escalate issues to management
Collaborate with peers to establish best practices
Attend and participate in all relevant meetings
Complete special projects as needed
Adhere to company and departmental policies
