About The Position

We are seeking a 1099 System Administrator / Business Analyst with deep experience in Deltek Vantagepoint ERP and a strong understanding of architecture firm operations. This role is responsible for aligning Vantagepoint’s technical configuration, data structure, and reporting capabilities with how architects plan, manage, and report on project and firm performance. The ideal candidate blends hands-on system administration with strategic business analysis, helping firm leadership and project teams use accurate data to improve project delivery, financial performance, staffing decisions, and long-term firm health. This role acts as a translator between architects, finance, and leadership—ensuring the ERP system supports design work rather than creating administrative friction.

Requirements

  • Demonstrated experience administering Deltek Vantagepoint (or Deltek Vision with Vantagepoint implementation experience).
  • Strong understanding of architecture firm operations, including project phases, fee structures, utilization, and billing practices.
  • Experience bridging technical ERP configuration with business analysis and stakeholder engagement.
  • Advanced experience with Vantagepoint reporting and dashboards.
  • Ability to explain complex system concepts to non-technical, design-focused users.
  • Highly organized, self-directed, and comfortable operating as a 1099 consultant.

Nice To Haves

  • Experience working directly with architecture or design leadership teams.
  • Familiarity with AEC financial metrics and performance indicators a plus.
  • Experience integrating Vantagepoint data with BI tools (Power BI, Tableau, etc.).
  • ERP optimization or post-implementation improvement experience.
  • Background in professional services or design firm operations.

Responsibilities

  • Serve as the primary Deltek Vantagepoint administrator, managing system configuration, security roles, workflows, and permissions.
  • Optimize project setup, phases, labor codes, billing methods, and revenue recognition to align with architectural project delivery.
  • Maintain data standards across CRM, projects, accounting, and resource planning modules.
  • Evaluate, test, and implement new Vantagepoint features and upgrades.
  • Support integrations with accounting, HR, and business intelligence tools.
  • Partner with principals, practice leaders, project managers, and finance to understand how the firm wins work, staffs projects, and measures success.
  • Translate firm goals and stakeholder needs into system requirements, workflows, and reporting solutions.
  • Evaluate current-state processes and recommend improvements that balance design culture with operational discipline.
  • Support leadership in using ERP data for strategic planning, growth decisions, and risk management.
  • Design and maintain dashboards and reports that reflect how architects manage work, including:
  • Project health, fee burn, and phase performance
  • Labor utilization, staffing forecasts, and workload planning
  • Net multiplier, profit, backlog, and revenue trends
  • Analyze data to identify performance patterns, inefficiencies, and opportunities for improvement.
  • Provide clear, actionable insights to leadership and project teams—not just raw data.
  • Improve data integrity and consistency so project and financial information can be trusted.
  • Reduce manual work and administrative burden for project teams through smarter configuration and workflows.
  • Develop documentation, standards, and lightweight training materials tailored to architects, PMs, and project accountants.
  • Support change management and user adoption across the firm.
