About The Position

We are seeking a highly organized and proactive Administrative Support Specialist to join our team. This role is crucial in ensuring the smooth operation of various administrative functions, supporting multiple departments, and maintaining high standards of documentation and data control. The ideal candidate will be detail-oriented, possess excellent communication skills, and have the ability to manage multiple tasks efficiently. Various administrative tasks such as: Getting purchasing quotes, end of month document storage, supplies, ESD jackets supply, Fastenal supplies, printers, weekly news, PE document control, IATF prep., fixed asset control, shipping, pool vehicles, special projects, and various other routine and non-routine tasks.

Requirements

  • High school diploma or equivalent; additional qualifications in office administration are a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in MS Office (MS Excel, MS Word, and MS Outlook).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Strong organizational skills with the ability to multi-task.
  • Excellent written and verbal communication skills.

Nice To Haves

  • Competent level of experience using Microsoft Word, Excel and PowerPoint.
  • Good written and oral communication skills.
  • Ability to collect and summarize data.

Responsibilities

  • Print and maintain revisions of check sheets for each production line.
  • Scan and save all check sheets monthly.
  • Assign and process policies, FMEA, and PCS documents.
  • Update databases for approval structures and levels.
  • Lead and coordinate the Christmas Holiday Giving Event.
  • Complete birth announcements, illness, and death notifications for flower distribution.
  • Maintain the Division Library books for associate check-out.
  • Coordinate retirement and farewell events.
  • Process monthly LPA audits from leaders and maintain LPA documents.
  • Manage break room 5S and office pantry clean-out.
  • Handle facilities work orders for cleaning or maintenance needs.
  • Manage pool vehicle maintenance, including oil changes, cleaning, and tire maintenance.
  • Provide daily support for print/copy/plot/shred tasks and recycle toner cartridges.
  • Manage company PCard, including obtaining receipts, tracking charges, and reconciling charges monthly.
  • Prepare and distribute the Division Weekly News.
