About The Position

The Scheduling Coordinator assists the Director of Health Services (DHS) in planning, developing, organizing, implementing, evaluating, and directing the nursing service department and its programs and activities in accordance with current rules, regulations, and guidelines that govern the Health Campus. This role involves coordinating nursing services with other resident services to ensure continuity of care, participating in facility surveys, creating and managing the campus' four-week Master set schedule, and making staffing adjustments as needed. The coordinator also manages employee PTO requests, holiday rotations, and shift trades, generates required postings, monitors nursing hours and overtime, and anticipates staffing needs. Additionally, the role includes onboarding coordination, providing direct nursing care, and maintaining accurate medical records.

Requirements

  • Skills in mathematical calculations and analytical skills.
  • Project management skills with the ability to manage multiple tasks.
  • Knowledge of state, federal, and human resources regulations.
  • Strong organizational skills with attention to detail.
  • Ability to communicate effectively both orally and in writing.
  • Ability to operate standard office equipment and software applications.
  • Ability to maintain confidentiality and professional discretion.
  • Knowledge of governmental laws and regulations pertaining to long-term care.

Nice To Haves

  • Previous scheduling experience preferred.
  • Knowledge of SmartLinx, ICIMS, and KeyStats computer systems.

Responsibilities

  • Assist the Director of Health Services in planning and directing the nursing service department.
  • Develop methods for coordination of nursing services with other resident services.
  • Participate in facility surveys conducted by government agencies.
  • Create and post the campus' four-week Master set schedule.
  • Make staffing adjustments according to budgetary constraints and census fluctuations.
  • Manage and coordinate employees' PTO requests and shift trades.
  • Generate required postings and manage nursing hours.
  • Monitor overtime and manage Time and Attendance.
  • Anticipate staffing needs and partner with Employee Services.
  • Maintain and monitor Preceptor needs.
  • Utilize Smartlinx for scheduling and employee messaging.
  • Assist with onboarding coordination and classes.
  • Provide direct nursing care as necessary.
  • Complete scanning and attaching of resident documentation in MatrixCare.
  • Maintain ordering and stocking of supplies.
  • Round on each shift to review staffing levels.
