About The Position

The Program Coordinator in the BRET office is responsible for managing key functions and operations within the Office for Biomedical Research Education and Training at Vanderbilt University's School of Medicine. This role involves independent work and collaboration with the Assistant Director of Postdoctoral Support, requiring a strong understanding of university policies and procedures. The coordinator will oversee postdoctoral appointments, manage intern appointments, and support various operational tasks to enhance the training experience for biomedical research graduate students and postdoctoral fellows.

Requirements

  • Bachelor's Degree required.
  • Two to four years of relevant experience preferred.
  • Proficiency in Microsoft Office Suite and Adobe is necessary.
  • Comfort with new technology systems and adaptability to technological changes is necessary.
  • Ability to handle multiple projects concurrently is necessary.
  • Strong organizational and critical thinking skills are necessary.
  • Excellent verbal and written communication skills are necessary.
  • Experience working effectively with senior leadership preferred.
  • Experience in a higher education/academic environment preferred.
  • Meticulous attention to detail and organization.

Responsibilities

  • Review and approve postdoc appointment and reappointment requests for the School of Medicine.
  • Serve as the School of Medicine Point of Contact (SPOC) for department administrators and the Office of Postdoctoral Affairs.
  • Manage communication flow of appointment and termination processes for annual appointments across multiple departments.
  • Compile and analyze data on postdoc appointments for program outcomes and communications.
  • Develop and maintain the BRET postdoctoral website.
  • Collaborate with the Assistant Director of Postdoctoral Affairs to resolve issues and support trainees.
  • Manage intern appointments for various departments and summer programs in Basic Sciences.
  • Build and maintain an intern appointment management system in Redcap.
  • Ensure compliance with safety training and Protection of Minors policy for interns and observers.
  • Execute requests for provisioning electronic identities for graduate students in Workday.
  • Facilitate the termination of dual IDs for BRET graduate students upon withdrawal or graduation.
  • Coordinate logistics for events supporting biomedical research graduate and postdoc training.
  • Serve as key office procurement requester and One Card holder for office supplies.
  • Provide logistic support for special events such as retreats and career symposia.
  • Act as guest travel coordinator for various events.
  • Create marketing materials for student events using Canva and other platforms.
  • Maintain listservs and email groups for committees and groups.
  • Communicate new/updated policies and procedures from relevant offices and agencies.
  • Attend School and University meetings related to the position.
