About The Position

The Program Associate will join the Education Support Services (ESS) Team at UW Madison's College of Engineering, focusing on administrative support for professional development courses and programs. This role emphasizes organization, precision, and collaboration, ensuring that logistics and material needs for courses are met while assisting with internal process documentation.

Requirements

  • Experience providing administrative assistance in a professional office setting
  • Experience with Microsoft Office Suite
  • Collaboration skills, including prior work on a team to complete a project and regular discussions with team members to develop processes/standards
  • Ability to work in a variety of computer programs including Qualtrics, cloud-based file management system, course and student information system, and learning management systems
  • Experience monitoring and managing a customer service email inbox
  • Proven ability to work in the Canvas Learning Management System
  • Experience assisting with internal process documentation (UW KnowledgeBase)
  • Experience working with detailed and confidential information

Responsibilities

  • Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision
  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
