About The Position

The Patient Appointment Service Specialist is responsible for independently creating and scheduling appointments within the electronic medical record for a complex, multispecialty medical practice. This role involves gathering patient-specific information, advising patients on necessary co-payments and referrals, and ensuring accurate patient eligibility assessments. The specialist interacts with various stakeholders, including patients and healthcare professionals, while navigating multiple systems to provide exceptional service. Flexibility in work hours and the ability to manage complex scheduling workflows are essential for success in this position.

Requirements

  • High school diploma/GED and a minimum of two years' customer service experience in a multi-tasking environment.
  • OR Associate's Degree.
  • Completion of Medical Terminology course preferred.
  • Strong verbal and written communication skills.
  • Ability to troubleshoot, problem solve, and balance conflicting demands.
  • Independent decision-making and sound judgment capabilities.
  • Strong attention to detail and follow-through.
  • Ability to work effectively in a fast-paced team environment.
  • Demonstrated ability to manage difficult situations and maintain positive communication.
  • Strong keyboarding and computer skills.
  • Basic understanding of insurance terminology.

  • Completion of Medical Terminology course.

Responsibilities

  • Independently create and schedule appointments within the electronic medical record.
  • Gather patient-specific demographic and provider information to assess appointment requests.
  • Advise patients on co-payments, referral authorizations, and pre-service deposits.
  • Collect Guarantor and insurance details to assess patient eligibility.
  • Respond to and interact with patients, customers, referring physicians, and healthcare staff.
  • Navigate multiple systems simultaneously to manage scheduling workflows.
  • Maintain accuracy and thoroughness in all patient-related activities and communications.
