About The Position

The Office Manager at Silver Birch Living will oversee daily office functions and provide administrative support to the leadership teams of both Silver Birch Living and Vermilion Development. This newly created role is essential for ensuring efficient office operations in the Downtown Chicago office.

Requirements

  • High School Diploma or equivalent; College Degree preferred.
  • Three or more years of experience in an Administrative Assistant or Office Manager role.
  • Strong verbal and written communication abilities to effectively interact with internal and external stakeholders.
  • Proven ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint), email management, and other relevant software.
  • Ability to maintain accuracy and thoroughness in all administrative tasks.
  • Commitment to safeguarding sensitive information.
  • Efficiently manage time to complete tasks effectively.
  • High level of professionalism.
  • Strong customer service orientation.

Responsibilities

  • Coordinate and manage executive calendars, scheduling meetings, appointments, and reminders.
  • Answer phone calls, screen inquiries, and direct calls to appropriate personnel.
  • Draft/edit correspondence, reports, and compile binders/presentations.
  • Maintain accurate and organized electronic and physical filing systems.
  • Arrange travel itineraries, book flights, and accommodations for staff members.
  • Order office/kitchen supplies, manage inventory and office equipment, and coordinate maintenance requests.
  • Prepare meeting agendas, take minutes, and distribute meeting summaries.
  • Input data into spreadsheets and databases as required.
  • Support onboarding/offboarding of new employees in software and email systems/3rd party vendors.
  • Purchase supplies, make bank deposits, and run general errands.
  • Greet and host visitors, receive and sort mail, and send mail/packages and deliveries.
  • Assist executives in completion of monthly expense reporting.
