Clean Water Action is a national, grassroots environmental organization that seeks to protect the environment and safeguard public health, promote passage of strong environmental laws, and help communities address local environmental problems affecting them. Clean Water Fund provides research, education, organizing, and technical assistance to strengthen grassroots environmental efforts around the country, promoting the public interest on issues related to water, natural resources, health, and a healthy economy. Clean Water Action and Clean Water Fund work together on selected campaigns and programs. Clean Water Action and Clean Water Fund are seeking a Grant Administrator to oversee and manage the organization's grant funding processes across multiple sources, including federal, state, foundation, and private funding streams. This role requires close collaboration with the Finance, Development, and State Director teams to ensure that all funding is effectively secured, managed, and reported.   • Work with program and finance staff to ensure an accurate, timely, efficient, and transparent process for the entire grant life cycle.
  • Oversee and act as the organization's expert for all aspects of the grantmaking process, including all grant administration policies, systems, and documentation.
  • Work across departments to build consistency in grantmaking processes serving as the point person starting with grant application entry to receipt of the final report.
  • Assist with the development and maintenance of a basic grantmaking manual and communicate appropriately to relevant staff.
  • Help to centralize the grantmaking function by coordinating the needs and flows of a wide variety of grantmaking programs through regular monitoring and accuracy.
  • Review grant award packets prior to notification of the award.
  • Assist Program staff in maintaining relationships and responding to inquiries from potential and existing grantees and/or funders.
  • Assist with the preparation of the program-related Board meeting materials that pertain to comprehensive lists of grant approvals and declines.
  • Assist with the archiving of our organization records as it pertains to grants.
  • Provides coding guidance for program expenses that conforms to Clean Water Action or Clean Water Funds chart of accounts.
  • Evaluates, implements, and maintains data management; assists with the creation of documentation and guidelines for the grants management systems.
  • Manage grant lifecycles from application to closeout in collaboration with State Directors.
  • Track and oversee monthly grant activity across all States.
  • Participate in monthly fiscal/grant meetings when requested.
  • Develop and implement systems to monitor grant progress and adherence to funder expectations.
  • Work with Finance and Development teams to track grant spending and manage budget adjustments.
  • Maintain up-to-date timelines for all grants and projects across departments.
  • Manage the monthly grant allocation process.
  • Serve as the administrative liaison with the Finance team for budgeting and fund management.
  • Implement performance metrics to evaluate grant effectiveness and impact.
  • Assist with the production of high-quality reports for internal and external requests for both high level and detailed data about the grantmaking programs.
  • Review grants reports for accuracy and compliance prior to submission.
  • Work across departments to implement standard coding structure to increase the organization's visibility.
  • Participate in quarterly reconciliation of grants data with Program and Finance departments.
  • Assists with and supports the annual audit process.
  • Bachelor's degree in business administration, finance, nonprofit management, or a related field.
  • Previous experience working for a 501(c)(3) nonprofit, especially those organizations with a fiscal sponsor structure.
  • 3-5 years of experience in grant management, nonprofit funding, compliance, and reporting.
  • Proven track record of managing multiple grants from diverse funding sources.
  • Strong written and verbal communication skills, including knowledge of AP writing guidelines.
  • Excellent organizational skills, attention to detail, and ability to manage multiple deadlines.
  • Sound judgment and decision-making skills with a proactive approach.
  • Proficiency in Windows-based software (Word, Excel, PowerPoint); Blackbaud software experience is a plus.
  • Must have a reliable Wi-Fi connection to support remote work and virtual collaboration.
  • Must have a designated, quiet work area to maintain productivity in a remote setting.
  • Salary commensurate with experience; $60,000-$68,000.
