We are seeking a Special Assistant to the Chief Operating Officer of a fast-growing, cutting-edge food service management company. The ideal candidate will be expected to perform the tasks listed below, help keep long term projects on track and handle more urgent requirements. Requirements

  • Direct relevant experience is preferred but not required.
  • Passion for fixing food and improving people's lives.
  • Excellent oral and written communication skills.
  • Excellent computer skills in MS Office and other platforms.
  • Ability to prioritize and manage multiple tasks at a time.
  • Exceptional organizational skills and attention to detail.
  • Must be able to communicate and engage with all stakeholders.
  • Show complete discretion concerning confidential or sensitive information.
  • Self-motivated, proactive, and forward thinking.
  • Successfully pass a criminal background check.

Responsibilities

  • Actively involved in organizing and managing executive calendars.
  • Ensure all meeting notes, agendas, attendee information, and bios of attendees are prepared in advance.
  • Responsible for managing travel arrangements and accommodations.
  • Handle common administrative tasks such as expenses, meeting recaps, and correspondence drafting.
  • Proactively identify solutions and contribute to the overall organization of the executive team.
  • Coordinate follow-up meetings that assist in keeping the team organized and focused on the key initiatives.
  • Assisting in preparing presentations, tightening up problem statements & solution statements.
  • Assist in finalizing the marketing plan, making it presentation-ready.
  • Gather statistics from company resources or the internet.
  • Support in drafting initiatives and project planning.
  • Resolve problems and roadblocks related to assigned tasks.
  • Demonstrate the ability to find solutions independently.
  • Manage and handle confidential information with discretion.
  • Proficient in Microsoft products and other necessary platforms.
  • Familiarity with Salesforce, reporting software, and database management tools.
  • Strong project planning skills are critical to this role.
  • Draft initiatives under the guidance of the executive team.
  • Display a high level of independence and problem-solving skills.
  • Ensure key information is not missed in the volume of emails received.
  • Improve communication from meeting to meeting.
  • Keep updates on the progress of initiatives and projects.
  • Conduct regular research projects, including finding products, sending gifts, and managing client correspondence.
  • Assist in meetings but avoid taking meetings independently to maintain focus on executive priorities.
  • Perform additional related duties as assigned by leadership.
