The Administrative Specialist CL2 position at the University of Maine at Augusta is designed to provide comprehensive administrative support to the Architecture and Education Programs. This full-time role involves managing communications, coordinating events, processing financial transactions, and assisting with various administrative tasks to enhance the educational experience for students and faculty alike.

  • Handle written and verbal communications with various stakeholders, such as other staff, students, and community members, and assist with questions
  • Plan and coordinate events and meetings
  • Note-take at meetings
  • Process financial transactions, such as stipends, checks, and other forms of payment
  • Order materials and supplies
  • Prepare and organize student forms, contracts, and other documents
  • Collaborate with appropriate college staff in tracking program budgets and monitoring expenditures
  • Assist in the planning and organization of the Architecture travel course, including assisting with expense and travel reimbursements
  • Support the Architecture Program's social media
  • Provide tours of the Architecture classroom spaces to potential students
  • Support the student teaching and field experience placement process in the Education Program through various administrative activities
  • Collaborate with program coordinators on tasks and projects
  • Support other administrative tasks in both programs
  • Collaborate with various departments and individuals at UMA on tasks related to both programs
  • Perform other duties as assigned by the supervisor of this position and the Dean of the College of Arts and Sciences
  • High School Diploma or equivalent G.E.D and sufficient experience
  • 2 years of administrative support or comparable experience
  • Experience with Microsoft, Google Drive, and similar programs
  • Previous job experience in Social Media Marketing or similar experience
  • Ability to manage multiple tasks and prioritize work
  • Previous budget management experience
  • Previous experience with reimbursement programs such as Concur
  • Excellent oral and written communication skills
