About The Position

The Administrative Assistant II position at the University of Texas at Arlington involves providing upper-level administrative support within the College of Science Dean's Office. The role encompasses a variety of responsibilities including personnel management, fund management, procurement, and general administrative duties. The successful candidate will assist in onboarding new staff, managing budgets, processing travel requests, and supporting various programs and events within the Dean's Office.

Requirements

  • Bachelor's degree with four (4) years of upper-level administrative experience or High School diploma and six (6) years of increasingly responsible administrative experience.
  • Excellent communication skills (written and verbal) and detail-oriented.
  • Proficient in Microsoft Office products such as Outlook, Word, and Excel.
  • Knowledge of the University's academic policies and procedures.

Nice To Haves

  • Bachelor's degree in business management, accounting, or other business-related degree.
  • A minimum of three (3) years of experience in a large academic department.
  • Experience with PeopleSoft and purchasing processes.

Responsibilities

  • Onboard/off-board new faculty, staff, and students, including creating offer letters and processing e-Forms.
  • Assist with timekeeper duties for the Dean's Office.
  • Process budget transfers, payment vouchers, and resolve discrepancies.
  • Process travel authorization requests, expense reports, and reimbursements.
  • Order equipment and office supplies using MavEshop, purchasing card, or purchase order.
  • Respond to inquiries and provide administrative support for programs in the Dean's Office.
  • Schedule and organize large meetings, submit course requests, and assign rooms to courses.
  • Assist with seminars and special events, including ordering refreshments and event setup.
  • Manage student assistants and answer the main telephone line as needed.
  • Manage shared office calendars and conference room calendar.
  • Obtain signatures on forms needing Dean's Office approval.
  • Assist with summer camps associated with the College of Science.
  • Assist Associate Deans with various projects.
