About The Position

The Administrative Specialist for Assertive Community Treatment (ACT) plays a crucial role in ensuring the smooth operations of the ACT team in Columbia, MD. This full-time position operates Monday through Friday from 8:30 AM to 4:30 PM, providing essential support to both staff and clients. The specialist will serve as a liaison between various stakeholders, including clients, families, service providers, and community members, facilitating effective communication and collaboration. The role requires the ability to triage urgent needs or situations that require immediate attention, ensuring that clients receive timely support and services. In addition to communication and liaison responsibilities, the Administrative Specialist will be tasked with sorting, prioritizing, and distributing mail, participating in team meetings, and ensuring that documentation of these meetings is accurate and complete. The specialist will coordinate team schedules, maintain team rosters, and monitor staff-to-client ratios, tracking weekly and monthly client service utilization. This position also involves tracking service authorizations and collecting, managing, and reporting data required by the organization, regulations, accreditation, and evidence-based practice fidelity. Another critical aspect of the role is managing client medical records and monitoring documentation timelines, including required documentation related to enrollment, treatment plans, services, and transition and discharge plans. The specialist will also monitor client entitlement statuses and coordinate with billing, entitlements, and other support staff as needed. Additionally, the role includes assisting with the maintenance of program space, equipment, and supplies, ensuring that the ACT team has the necessary resources to provide effective services.
