About the position

The WVU-Centralized Scheduler is responsible for managing the scheduling, cancelling, rescheduling, and registration of outpatient visits and procedures across multiple ambulatory clinics. This role involves direct patient contact in a high-volume clinical setting, ensuring that all necessary information is collected for effective scheduling and registration preparation.

Responsibilities

  • Checks in and checks out patients according to Scheduling/Registration guidelines, prioritizing based on patient needs.
  • Obtains and verifies patient guarantor information at least once a year to maintain accurate patient records.
  • Schedules and registers patients/customers based on scheduling guidelines and medical appropriateness.
  • Seeks positive solutions to challenges in a high-stress environment through respectful communication and active problem-solving.
  • Coordinates follow-up appointments and testing with patients upon check-out.
  • Collects all necessary information from patients/customers for scheduling and registration.
  • Identifies and communicates the need for scheduling modifications and development.
  • Communicates perceived problems/issues to Supervisor or Manager.
  • Notifies appropriate personnel of any scheduling changes due to patient cancellations in a timely manner.
  • Responds to patient and staff needs and complaints appropriately, involving department supervisors and patient representatives as needed.
  • Consults with referring physician's offices to ensure written and/or electronic orders exist and obtains them as needed.
  • Responsible for collecting all payments and copayments during check-in or check-out processes.
  • Reconciles cash drawer and reports discrepancies to Supervisor or Manager at the end of the day.
  • Collects all necessary signatures on waivers for managed care at check-in.
  • Ensures patient satisfaction and uses AIDET in all interactions with patients and staff.
  • Participates in ongoing education activities to enhance professional expertise as monitored by supervision.
  • Completes work queues and daily tasks in a timely manner according to the scheduling area.
  • Meets productivity standards set by leadership.
  • Responds to all patient communication in a timely manner.
  • Adheres to established Performance Expectations for WVUH Employees.

Requirements

  • High School diploma or equivalent.
  • Minimum typing speed of 25 words per minute.
  • Experience in a medical office setting.

Nice-to-haves

  • Completion of Medical terminology class.
  • Strong EPIC skills, including Cadence, Referrals, and Prelude.
  • Knowledge and understanding of medical terminology.
  • Knowledge of third-party payors and insurance.
