Requirements

  • Minimum 2-4 years of experience in an administrative, operations coordination, maintenance coordination, facilities, property management, or service delivery role
  • Experience coordinating work orders, service requests, maintenance activities, or vendor services is preferred
  • Experience supporting invoice processing, documentation management, and operational reporting is preferred

Nice To Haves

  • Diploma in Business Administration or a related field is considered an asset
  • Experience with Yardi Voyager is considered an asset
  • Experience within residential, commercial, or mixed-use real estate environments is considered an asset

Responsibilities

  • Support the administration and tracking of work orders across the portfolio
  • Ensure work orders are accurately entered, categorized, updated, and closed within established standards
  • Monitor work order statuses and follow up with operational teams on outstanding items
  • Support adherence to response and completion timelines
  • Assist with maintaining consistency in work order documentation and communication practices
  • Coordinate scheduling for maintenance activities, inspections, vendors, and operational meetings
  • Support Building Operations teams with administrative preparation and follow-up
  • Assist with organizing preventative maintenance schedules and tracking completion
  • Coordinate access arrangements and communication related to maintenance activities
  • Maintain organized operational calendars, records, and tracking tools
  • Support vendor onboarding documentation and compliance tracking
  • Maintain vendor records, insurance certificates, contracts, and related documentation
  • Coordinate vendor communication related to scheduling, service updates, and documentation requests
  • Assist with tracking vendor performance information and service follow-ups
  • Ensure vendor information is accurate and current within systems and files
  • Prepare and maintain operational reports, dashboards, and tracking documents
  • Support data entry, accuracy, and consistency within Yardi and other operational systems
  • Compile information related to work order activity, preventative maintenance, and operational metrics
  • Assist leadership with reporting preparation and document organization
  • Maintain organized records and operational documentation for audit and reporting purposes
  • Support invoice collection, coding coordination, and administrative processing workflows
  • Track operational expenses and assist with documentation related to approvals and submissions
  • Ensure supporting documentation is complete and properly maintained
  • Coordinate with Finance regarding invoice status, missing information, or follow-up requirements
  • Maintain accurate administrative records related to operational expenditures
  • Act as an administrative liaison between Building Operations, Property Management, vendors, and internal departments
  • Support communication related to maintenance activities, scheduling updates, and operational coordination
  • Assist with preparing operational correspondence, notices, and documentation
  • Maintain professionalism and responsiveness in all Team Member, vendor, and tenant interactions
  • Support operational consistency through organized communication and follow-through
  • Support standardized administrative processes and operational workflows
  • Identify administrative inefficiencies and recommend process improvements
  • Assist with maintaining operational templates, forms, trackers, and documentation standards
  • Support implementation of new processes, tools, and system improvements
  • Partner with operational leadership to improve organization, efficiency, and consistency across Building Operations
