About the position

The position involves various responsibilities primarily focused on WIC (Women, Infants, and Children) reception work, file management, certification of participants, review and issuance of food benefits, notifications, computer management, quality assurance, and participation in special projects as assigned. The role requires effective communication and organizational skills to manage the flow of participants and ensure accurate recordkeeping and service delivery.

Responsibilities

  • Answer phone calls, direct calls, answer questions, and screen potential participants.
  • Handle appointment scheduling and rescheduling.
  • Greet and check in participants, managing the flow of people in the reception area.
  • Direct participants to appropriate staff and keep an adequate supply of program pamphlets.
  • Run educational videos as needed.
  • Obtain new participant ID numbers or retrieve existing numbers from the system.
  • Collect basic participant information for eligibility screening and prepare charts with appropriate forms.
  • Pull and file charts for active and terminating participants.
  • Verify category, income, and residency to determine WIC eligibility.
  • Collect and enter participant demographic data and fill out eligibility forms.
  • Read/explain WIC rights and responsibilities to participants and make referrals to other non-WIC services as needed.
  • Provide WIC overview to new participants and assist with downloading the WICshopper app.
  • Explain shopping processes for WIC, including the use of WIC debit cards and reviewing the food guide with participants.
  • Issue WIC debit cards, load benefits, and review food items with participants.
  • Send/give out notification letters and document on letter logs or participant charts.
  • Start up/shut down computers at the beginning and end of the day and troubleshoot computer or printer problems.
  • Work on monthly QA reports as assigned, ensuring accuracy and attention to detail in recordkeeping and scheduling.
  • Provide ideas to the supervisor for increasing office efficiency and respond to quality assurance feedback.

Requirements

  • High School Diploma or G.E.D.
  • One year of general office experience with computer responsibilities or some formal education in computer management systems.
  • Experience in health care or community facility preferred.
  • Availability to work at multiple WIC sites and during evening hours as needed.
