About the position

This position reports to the Manager, H-2A Services and is responsible for preparing, submitting, filing, and tracking H-2A visa related forms and documents, and providing client support. Incumbent will also provide administrative support and invoice clients.

Responsibilities

  • Communicates frequently and accurately with clients and prospective clients who have inquiries about the H-2A visa process.
  • Conduct client follow-up to obtain signed documents, agreements, and related forms necessary to process H-2A applications.
  • Provide clients with consistent and timely status updates.
  • Obtain approvals to pay outstanding invoices and generate check requests.
  • Generates and issues invoices for products and services offered to members and reimbursement to clients.
  • Prepares for review and timely submittal H-2A job orders to the State Workforce Agency (SWA).
  • Prepares for review and timely submittal H-2A applications for temporary labor certification to U.S. Department of Labor (DOL).
  • Prepares and submits initial recruitment reports.
  • Prepares for review petition for non-immigrant H-2A visa for review and submit to United States Customs and Immigration Services (USCIS).
  • Prepares for review petition for non-immigrant visa (Form I-129) including Attachment-1 to enter detailed information for each named beneficiary.
  • Translate documents from Spanish to English.
  • Prepare for review responses to SWA/DOL/USCIS inquiries, notices of deficiency, and requests for evidence.
  • Provide general administrative support including but not limited to copying, scanning, filing scheduling appointments, answering incoming calls, distributing messages, maintaining calendars, filing, and maintaining file room.
  • Maintain integrity of the H-2A database to ensure accurate case and member information.
  • Assume responsibility for maintaining office supplies by checking inventory and order items.
  • Handle Incoming/Outgoing department mailbox daily, timestamp letters and notifications received.
  • Utilize all capabilities to satisfy one mission - to enhance the competitiveness and profitability of our members.

Requirements

  • Bachelor's degree plus two (2) to four (4) years administrative and/or collegiate academic experience, preferred.
  • Two-plus (2+) years H-2A visa or other immigration-related legal experience.
  • Excellent communication skills (both verbal and written) and an acute attention to detail.
  • Exceptional fluency in speaking, reading, and writing both English and Spanish and a solid understanding of cultural nuances of the Spanish language when translating written material, highly desired.
  • Paralegal certificate, preferred.
  • Excellent computer skills and proficiency with MS Office Suite (Word, Excel, Outlook) and Adobe Acrobat with the ability to learn new or updated software.
  • Highly detail oriented with strong organizational skills, able to meet deadlines, adjust to changing priorities with continued attention to detail and ability to perform well under pressure.
  • Strong ability to work efficiently and effectively in a multiple task, multi-project and multi-demanding environment.
  • Ability to work independently, exercise good judgment and multi-task with little supervision.
  • Strong ability to manage and organize work economically and efficiently, establish priorities and maintain good interpersonal relations and communications with clients and staff.

Benefits

  • Compensation: $54,583 - $75,958 with a rich benefits package that includes profit-sharing.
