About the position

The Juvenile Department is seeking a variable hour Administrative Specialist II to provide support in both the Conciliation Services and Juvenile front desk. This role involves training to back up the Administrative Specialist in Conciliation Services, which includes service delivery and interfacing with the public through various communication channels such as telephone, email, and in-person interactions. The Administrative Specialist II will be responsible for collecting and entering program data, maintaining records, and managing electronic files. Additionally, the position requires cross-training to cover the Juvenile front desk reception, where the specialist will interact with the public and staff daily, managing day-to-day workflow and courtroom activities. This is a part-time variable hour position, requiring up to 20 hours of work per week. The ideal candidate will possess strong technical computer skills, including database management, and demonstrate active listening, empathy, and patience, especially during high-stress situations. Excellent communication and organizational skills are essential, along with the ability to multi-task, make sound decisions, and collaborate effectively as a team player. Flexibility in working hours from Monday to Friday is also required.

Responsibilities

  • Assist in Conciliation Services and Juvenile front desk operations.
  • Interface with the public via telephone, email, and in-person to communicate program needs.
  • Liaise with court staff and the family law assistance program.
  • Collect and enter program data, maintaining records and electronic files.
  • Cover Juvenile front desk reception, managing daily workflow and courtroom activities.

Requirements

  • High school diploma or equivalent.
  • Three years of progressively responsible experience providing administrative or clerical support.
  • Possession of Microsoft Office Specialist (MOS) or other applicable certifications may substitute for up to one year of experience.
