About the position

The Administrative Coordinator I for the Department of Ophthalmology at MUSC is responsible for providing comprehensive administrative support to practice providers, administrative leaders, and care team members. This role involves coordinating multi-step processes such as surgery scheduling and managing clinic templates, while also supervising a team of 4-6 administrative staff members.

Responsibilities

  • Manage all patient surgeries including scheduling, documentation, consents, and patient education using specialized computer systems.
  • Manage physicians' clinics by approving overbooks and reviewing upcoming clinic schedules, serving as the liaison between scheduling, staff, and physicians.
  • Coordinate patient financial responsibilities with financial counseling and precertification teams, and oversee financial assistance requests.
  • Supervise all Administrative Assistant staff, managing workflow, training, performance evaluations, and resolving employee issues.
  • Handle all correspondence including patient letters, physician requests, and clinic cancellations, while managing physicians' calendars and office files.
  • Respond to phone calls professionally, addressing questions and concerns from patients, physicians, and staff.

Requirements

  • A high school diploma and four years of relevant experience in business management, public administration, or administrative services; or a bachelor's degree and two years of experience in the same fields.
  • Experience in a healthcare setting with increasing responsibility in administrative or supervisory roles.
  • Proven experience in leading teams or supervising administrative staff, including performance evaluations and mentoring.
  • Familiarity with electronic medical record (EMR) systems such as EPIC and hospital systems like OR scheduling platforms.
  • Understanding of medical billing and coding, insurance authorizations, and patient referrals.
  • Experience in managing workflows and implementing changes in clinic operations.

Nice-to-haves

  • 2-5 years of experience in a healthcare setting.
  • Experience in managing patient scheduling and physician support.
  • Background in conducting performance evaluations and working on employee development plans.
  • Experience with healthcare compliance regulations, including HIPAA.
