About the position

The Surgery Scheduler/Medical Authorization Specialist position at a busy Urology office in Tustin, CA, involves scheduling surgeries and managing medical authorizations. The role requires strong customer service skills and a proactive attitude, with responsibilities that include coordinating schedules, guiding patients through the surgical process, and ensuring timely submission of authorizations.

Responsibilities

  • Responsible for scheduling surgeries for two surgeons.
  • Coordinates schedules of doctor, patient and hospital.
  • Walks patient through the surgery process from pre op to post op and beyond.
  • Verifies insurance benefits and collects deductibles.
  • Works EMR, returns phone calls, provides needed information or takes messages when appropriate.
  • Organizes pre op paper work for surgeons prior to surgery.
  • Submits Authorizations to HMO's for in office and Surgery procedures.
  • Submits authorization in a timely manner. Checks status of auths. Submits Retro Auth if needed.
  • Perform other duties as required by clinic or Practice Manager.

Requirements

  • Must have a High School Diploma or GED.
  • Medical Authorizations: 1 year (Required)
  • Medical Surgery Scheduling: 2 years (Required)
  • PC-based business applications software such as Microsoft Office, specifically Word and Excel.
  • Excellent inter-personal, strong analytical, and problem-solving skills.
  • The ability to type at least 40 words per minute.
  • Must use proper English grammar, usage, spelling and punctuation; modern business office procedures, including filing systems, business correspondence, receptionist and telephone techniques.

Nice-to-haves

  • Experience with Nextgen and Epic, and Prospect portals preferred, but not required.
  • Bilingual a plus but not required.
