About the position

The Supervisory Medical Support Assistant position at the Department of Veterans Affairs involves overseeing and directing support services within the Health Administrative Service line. This role is critical in ensuring that patient services are met effectively by managing subordinate staff, resolving complex issues, and providing technical and management guidance. The position requires a comprehensive understanding of medical terminology and the ability to communicate effectively across various levels of the organization.

Responsibilities

  • Plan, organize, administer, and direct support services for the organizations served.
  • Assign work to subordinate staff and develop performance standards.
  • Resolve complex issues to ensure patient services are met.
  • Provide technical and management guidance for optimal use of support service resources.
  • Carry out administrative and supervisory duties, including work assignment and performance evaluations.
  • Organize work, set priorities, and delegate tasks to meet deadlines.
  • Manage staffing requirements and coordinate work to complete duties accurately and timely.
  • Provide briefings, orientations, staff development, and training.
  • Develop and formalize performance evaluations for direct reports.
  • Advise management on service requirements and implications, following hospital policies and regulations.

Requirements

  • U.S. Citizenship is required.
  • Proficiency in written and spoken English.
  • One year of specialized experience equivalent to the GS-7 grade level leading or supervising Medical Support Assistants or equivalent administrative patient support staff.
  • Ability to provide a full range of administrative and supervisory duties to subordinate staff in a patient support setting.
  • Strong customer service and interpersonal skills to ensure quality care and compliance with policies.
  • Experience in providing briefings, orientations, and staff development in a patient support setting.
  • Ability to manage fiscal matters and forecast resource needs.

Nice-to-haves

  • Advanced knowledge of medical terminology and its application in a clinical setting.
  • Experience in managing or leading patient support staff in a clinic.
