About the position

The Substitute Secretary at Freeman School District is responsible for performing secretarial duties under the supervision of the Principal. This role involves a variety of tasks that support the daily operations of the school office, ensuring effective communication and organization within the school environment. The position requires maintaining confidentiality and professionalism while interacting with students, parents, and staff.

Responsibilities

  • Greets parents and answers phones, acting as the principal's representative in a positive manner.
  • Assists students, parents, and staff seeking help in the office.
  • Prepares written materials such as documents, correspondence, report cards, and reports for the principal and special education staff.
  • Maintains and updates information on school communication platforms to ensure current information is available to students and parents.
  • Maintains student records for K-12 regular and special education students.
  • Manages CEDARS reporting for K-12.
  • Maintains various files and records for documentation in accordance with administrative and legal requirements.
  • Manages multiple tasks simultaneously while dealing with significant disruptions.
  • Works cooperatively with team members and assists other personnel as needed.
  • Writes, types, or enters information into the computer to prepare various documents and records.
  • Proofreads records or forms, sorts and files records, and prepares reports for the principal.
  • Organizes and directs the work of student helpers.
  • Handles funds for processing in compliance with district policies.
  • Administers first aid and assesses the need for further care for ill students.
  • Receives, stores, and distributes supplies, maintaining equipment inventories.
  • Answers telephone calls, conveys messages, and runs errands.
  • Maintains good student relations through organization, consistency, and fairness.
  • Maintains ASB records, including purchase orders and tracking sales and payments.
  • Assists the Athletic Director as needed.
  • Attends workshops and trainings to stay updated on relevant information.
  • Photocopies documents and performs other assigned duties.

Requirements

  • High school diploma or GED; one to three months related experience and/or training; or equivalent combination of education and experience.
  • Strong computer skills with word processing and spreadsheet software.
  • Ability to perform multiple technical and non-technical tasks and upgrade skills as needed.
  • Must pass the Washington State Patrol/FBI background check.
  • Demonstrate mature behavior and sound judgment in communication with students, parents, staff, and the community.
