About The Position

The Texas Division of Emergency Management (TDEM) is seeking a Student Worker for the Business Services Division. This role will assist in developing and maintaining a reconciliation and monitoring system to ensure system interfaces function correctly, and will aid in investigating and resolving interface exceptions. This is a summer opportunity for college students, with work hours potentially increasing between semesters. The position is located at TDEM Headquarters in Austin, Texas, and is not eligible for benefits. Face-to-face and person-to-person interactions are required.

Requirements

  • Current student status with an institution of higher education or future student enrollment status for the upcoming school semester.
  • Strong organizational skills and ability to manage multiple projects simultaneously.
  • Strong and effective communication skills.
  • Ability to multitask.
  • Proficiency in Microsoft Office, Microsoft Word, Microsoft Excel, and other operating systems and devices.
  • Ability to understand and apply basic functions and roles of Business Services.
  • Ability to anticipate, identify issues, and problem-solve.
  • Ability to communicate with tact and diplomacy.
  • Ability to travel (0%).

Responsibilities

  • Learn the FAMIS accounting system for efficiency and integrity of agency account records.
  • Enter TDEM invoices into AggieBuy and the TDEM ticketing system.
  • Assist with managing the Accounts Payable ticketing system.
  • Utilize SmartSheets to pull and create reports.
  • Assist in maintaining a reconciliation and monitoring system for system interfaces.
  • Investigate and resolve errors and discrepancies, reporting them to management.
  • Perform clerical duties such as faxing, copying, printing, scanning, preparing correspondence, coordinating and scheduling meetings, scribing during meetings, and retrieving mail and messages.
  • Provide support and contribute to Business Services projects.
  • Shadow Business Services staff in different functions and roles to learn about Finance fundamentals.
  • Maintain regular attendance during authorized work schedule.
  • Perform other related duties as assigned.
