About The Position

The Resource Management Center (RMC) Staffing Assistant is a centralized, non-clinical role responsible for real-time coordination and allocation of hospital staffing resources to ensure safe and effective patient care across inpatient units. This position plays a critical role in maintaining appropriate staffing ratios through continuous assessment of unit needs and available resources.

Requirements

  • High School Degree or Equivalent
  • At least 2 years of experience in healthcare operations, staffing coordination, or hospital-based roles
  • Strong organizational, multitasking, and problem-solving abilities
  • Excellent communication and interpersonal skills
  • Ability to make real-time decisions in a high-pressure, fast-paced environment
  • Proficiency with scheduling systems and basic computer applications

Nice To Haves

  • Registered Nurse (RN) or clinical background
  • Prior experience in staffing/resource allocation, bed management, or centralized staffing office
  • Familiarity with hospital workflows, inpatient unit operations, and patient acuity considerations
  • Experience using Smart Square or similar workforce management platforms

Responsibilities

  • Coordinate and allocate nursing and ancillary staff across multiple inpatient units to maintain safe staffing ratios
  • Conduct staffing evaluations at minimum every 4 hours, adjusting assignments based on census changes, acuity, and unit needs
  • Collaborate closely with Hospital Supervisors and unit Charge Nurses to assess real-time staffing needs and operational demands
  • Attend and actively participate in staffing huddles throughout the shift, where units report: Current census, Available staff/resources, Anticipated needs for the oncoming shift
  • Develop and communicate staffing plans for upcoming shifts
  • Identify and allocate incoming resources, including nursing and ancillary care team members, based on priority and patient safety needs
  • Manage incoming calls from care team members, including call-outs and schedule changes
  • Respond to unit updates such as admissions, discharges, and new patient safety needs (e.g., sitter/1:1 observation requirements)
  • Utilize the scheduling platform, Smart Square, to track staffing, assignments, and workforce availability
  • Maintain clear, concise communication across all levels of hospital operations to ensure transparency and efficiency
