About the position

The Staffing & Scheduling Specialist at Butler's Pantry plays a crucial role in managing staffing for over 800 full-service events annually, equating to more than 50,000 hours worked by a diverse workforce. This position requires a proactive individual who can effectively communicate and organize staffing needs using both modern scheduling software and traditional methods. The specialist will collaborate with various teams to ensure optimal staffing and maintain relationships with contract employee agencies.

Responsibilities

• Manage staffing for all Butler's Pantry events using NOWSTA and other channels.
• Maintain the employee database in NOWSTA, including employee skills and position capabilities.
• Communicate with Sales, Events, and Culinary Teams regarding staffing needs.
• Run weekly staffing meetings and take notes for updates.
• Identify critical days for staffing shortages and develop strategies to address them.
• Maintain relationships with contract employee agencies for staffing needs.
• Maximize engagement of Event employees by communicating available shifts and updating their preferences.
• Utilize reporting in NOWSTA to provide strategic information to leadership.

Requirements

• Proven experience in scheduling, logistics, or a related field.
• Exceptional organizational and time-management skills.
• Strong communication and interpersonal abilities.
• Familiarity with scheduling software and tools.
• Ability to adapt quickly to changing priorities in a fast-paced environment.
• Detail-oriented with the capability to manage multiple tasks simultaneously.
• Computer proficiency, including Microsoft Teams, Outlook, Word, and Excel.

Nice-to-haves

• Experience with NOWSTA or similar scheduling software.
• Previous experience in the catering or hospitality industry.
