About The Position

We are seeking a detail-oriented Staff Accountant / Bookkeeper to manage day-to-day accounting and job-costing functions within a dynamic construction environment. This role is perfect for a professional with experience in construction accounting who is adept at using QuickBooks Desktop and enjoys working in a small-company, fast-paced setting. The position involves various responsibilities such as contract billing, cash flow tracking, AR/AP support, payroll coordination, and year-end accounting support, closely collaborating with internal team members and external accountants.

Requirements

  • Proficiency in QuickBooks Desktop.
  • Experience in contract billing and reconciliation.
  • Strong understanding of cash flow management.
  • Expertise in accounts payable and receivable.
  • Knowledge of certified payroll and union benefits.
  • Ability to manage general ledger operations and year-end accounting.
  • An Associate's degree is required.

Nice To Haves

  • Experience in job costing and backlog reporting is advantageous.
  • Basic understanding of certified payroll is beneficial; training is provided.

Responsibilities

  • Perform contract billing, including reconciliation to AIA schedules, change orders, and contract modifications.
  • Track cash flow with an eye on expected incoming finances over the next 30 days.
  • Prepare and maintain Profit & Loss statements in QuickBooks Desktop.
  • Support job costing and backlog reporting by tracking man-hours and labor costs per job.
  • Assist with journal entries between two companies.
  • Collaborate with outside accountants during year-end and provide necessary WIP-related information.
  • Support accounts payable and accounts receivable functions.
  • Work with purchase orders and assist in bill entries.
  • Coordinate with team members to ensure billing and collections are up-to-date.
  • Assist in developing and maintaining labor rates.
  • Support payroll functions, including manpower estimates and wage tracking.
  • Maintain certified payroll reporting with team support.
  • Assist with prevailing wage tracking and support union benefit understanding and reporting.
  • Manage OCIP enrollment, insurance audits, and compliance documentation.
  • Collect and maintain subcontractor and vendor documentation including W-9s, COIs, certificates, etc.
  • Prepare and support 1099 reporting.
