About The Position

International has a great opportunity for an Executive Assistant to support the President of International Financial. The individual will be responsible for performing a wide array of administrative functions requiring confidentiality, initiative and sound decision making along with a high level of professionalism. The successful candidate is someone who can address problems independently and apply both strategic and execution-oriented thinking while anticipating executive needs in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful, and efficient. This is a four day (Monday - Thursday) on-site role based at our corporate headquarters in Lisle, Illinois.

Requirements

  • Bachelor's degree and at least 1 year of executive administrative experience OR Master's degree and no experience OR At least 3 years of executive administrative experience
  • Qualified candidates, excluding current employees, must be legally authorized on an unrestricted basis (US Citizen, Legal Permanent Resident, Refugee or Asylee) to be employed in the United States. We do not anticipate providing employment related work sponsorship for this position (e.g., H-1B status)

Responsibilities

  • Structures, organizes, and expedites the activities and workflow of the executive’s office.
  • Prioritize schedules, develops, and initiates a system of follow-up for projects, meetings, and issues to assure the efficient and effective management of the executive’s office.
  • Maintain and manage executive calendar as well as inbox
  • Schedule meetings and resolve conflicts
  • Manage executive phone calls
  • Coordinate travel arrangements
  • Organize and attend executive staff meetings, take meeting minutes, and distribute action items to attendees
  • Plan and support organizational events and logistics
  • Assist with arrangements for visitors to our Lisle headquarters, including Company executives from overseas
  • Coordinate IT issue resolution
  • Complete and manage expense reports and submit them in a timely manner with complete accuracy
  • Quickly identify critical issues and navigate priorities based on last minute changes
  • Assist and coordinate special projects
  • Maintains itinerary on a daily, weekly, and monthly basis
  • Manage multiple priorities simultaneously with attention to detail and accuracy, and reprioritize as needed
  • Manage third party requisitions
  • Works with the President’s direct reports to gather any information needed by the executive and compiles information for review
