Responsibilities

  • Drives Compliance: Utilizes tracking systems that include student information related to IEPs, services, service hours and evaluations; student PLOPs, grades, cognitive potential, standardized test scores, and testing accommodations. Maintains compliant special education files in PSSP. Handles due process actions in collaboration with a technical assistance expert. Collaborates with AP of Special Education for staff development/training as needed. Completes required documentation for IDEA and Medicaid. Maintains calendar of annual, triennial review, 30 day review and initial eligibility/IEP meetings to ensure timelines are met. Oversee and manage all high level discipline for students with IEPs, such as FBA, BIP and manifestation hearings. Responsible for managing all compliance to OSSE for special education (DC CATS, IDS, Qlik, BOX, etc.). Oversee and manage special education transportation. Participates in the MTSS process and manages all child find referrals. For students 14+, administer transition assessments and write transition plans. Monthly related service providers service captures review to ensure prescribed hours are being met. Manages all IEP quarterly progress reports to ensure timeliness and quality. Coordinate with external service providers to support student needs.
  • Chairs MDT: Convenes MDT on a regular basis to discuss and address needs of truant, suspended and failing students. Chairs initial eligibility/IEP conferences. Monitors and supports MDT meetings chaired by teachers/case managers. Ensures parents receive all notifications and evaluation reports in advance of the MDT meetings; ensures parents are welcomed as participating partners in all meetings. Ensures timely receipt of reports and evaluations. Takes comprehensive meeting notes and monitors notes taken by teachers/case managers; records dissenting opinions; follows eligibility criteria and guidelines. Chairs and maintains all 504 meetings & documentation.
  • Family & Community Engagement: Serve as the primary liaison between families, teachers, related service providers, and school administration regarding special education services and supports. Maintain consistent, clear, and professional communication with families throughout the special education process. Facilitate positive family-school partnerships that promote collaboration and trust. Ensure parents understand their rights under the Individuals with Disabilities Education Act (IDEA) and related special education procedures. Communicate evaluation results, progress monitoring data, and student performance in family-friendly language. Support families in understanding accommodations, modifications, service delivery, and transition planning. Address and assist in resolving parent concerns, questions, and conflicts in a timely and solution-focused manner. Mediate challenging conversations between families and school teams when necessary. Ensure compliance with timelines and documentation related to parent notifications, consent, and procedural safeguards. Connect families with community resources, advocacy organizations, and outside support services when appropriate.
