About the position

Serve as the Shipping and Receiving Clerk to the School of Chemical Engineering. Maintain and manage the dock and print shop. Handle campus mail, US mail, registered mail, freight items, UPS, FedEx, and other vendor items. Inspects freight items to determine if they are acceptable or damaged and sorts/distributes all incoming mail, supplies and equipment ordered by the School. Maintain necessary records and security for the dock area regarding building access. Responsible for the cylinder inventory process, operation and maintenance of poster printer and copy machine. Will serve on the ChE Safety Committee and conduct building inspections. Assist the Building Deputy and Senior Maintenance Mechanic with any needed moving of furniture, equipment, or preparations for events.

Responsibilities

  • In charge of shipping and receiving for the School.
  • Responsible for sending and receiving all items and/or materials as School employees require.
  • Sends equipment out to be repaired, as instructed by faculty and graduate students.
  • Receives equipment, checks to ensure order is correct, and notifies requestor of received items.
  • Prepares packages and mail as needed for Campus mail pickup.
  • Maintains log of all items.
  • Handles hazardous chemicals every day which require special handling.
  • Sorts and distributes US and Campus mail for School.
  • Responsible for cylinder inventory, records all cylinders received and sent back and sends monthly reports with the outstanding cylinders.
  • Maintains security for the back dock area.
  • Works with the Executive Officer, Operations Coordinator, Building Deputy, and the Senior Maintenance Mechanic to ensure the facilities are functional, clean, well maintained and safe for all occupants to perform their normal activities.
  • Assists the Building Deputy and Senior Maintenance Mechanic with any needed relocation of equipment or maintenance needed in the building.
  • Moves office and laboratories, prepares and installs furnishings and equipment.
  • Serves on the ChE Safety Committee and conducts building inspections as well as safety training when needed.
  • In charge of operating and maintaining the poster printer and copy machine for Chemical Engineering.
  • Maintains a record of inventory and orders all materials relative to the operation of the print shop and receiving area.
  • Requests major maintenance of all equipment with approvals.
  • Responsible for maintaining the confidentiality of materials being copied and/or distributed.
  • Prepares monthly reports for the copy-center code uploads and interacts with business office to create new codes as needed.
  • Responsible to receive all the purchase orders received in the shipping area.
  • Acts as back-up for placing purchase orders in when the Business Office needs help.

Requirements

  • High School Diploma or Equivalent
  • Excellent interpersonal skills with the ability and skill to work with and instruct people of various cultural backgrounds.
  • Good verbal & written communication, time management, and organizational skills with a positive creative attitude.
  • Must be able to manage the demands of multiple simultaneous tasks on a daily basis.
  • Must be a highly motivated individual who will take initiative to solve problems, assume responsibility, and meet deadlines.
  • Capable of using appropriate tools to maintain necessary laboratory records, project status, user training status and inventory.
  • Computer proficient in Microsoft Word, Excel, and Outlook-email.
  • Knowledge of general fire safety, MSDS, hazardous waste and proper handling of solid and liquid propellants desired.
  • Able to lift and carry 80 lbs. frequently and up to 100 lbs. occasionally.
  • Exposure to heavily machinery, fumes, and heat (above 90 degrees).

  • Experience with shipping/receiving procedures and operational knowledge.
