About The Position

The Shipping & Logistics Coordinator is responsible for the accurate and timely processing of domestic and international shipments while ensuring compliance with customer-specific requirements, regulatory standards, and company procedures. This role manages all shipping transactions within Epicor, coordinates transportation through parcel and freight carriers, prepares export documentation, maintains shipping records, and serves as a key link between warehouse operations, customer service, production, and customers. The ideal candidate is highly organized, detail-oriented, customer-focused, and experienced in ERP systems, shipping documentation, and logistics coordination within a manufacturing environment.

Requirements

  • High School Diploma or GED required.
  • Minimum 3 years of experience in shipping, logistics, warehouse operations, or manufacturing support.
  • Proficiency with ERP systems; Epicor experience strongly preferred.
  • Experience using UPS WorldShip, FedEx Ship Manager, freight portals, and customer web-based shipping systems.
  • Strong Microsoft Office skills, particularly Excel and Outlook.
  • Familiarity with shipping documentation, carrier requirements, and international shipping processes.
  • Ability to learn customer-specific logistics and documentation requirements.
  • Attention to Detail: Ensures accuracy in ERP transactions, shipping documentation, customer requirements, and shipment execution.
  • Customer Focus: Understands the importance of on-time delivery and supports customer satisfaction through responsive service and execution excellence.
  • Organizational Skills: Effectively manages multiple shipments, priorities, deadlines, and documentation requirements.

  • Ability to lift and move materials up to 50 pounds occasionally.
  • Ability to operate warehouse equipment such as pallet jacks and forklifts (or obtain certification).
  • Ability to work in a warehouse and manufacturing environment.

Nice To Haves

  • Associate degree in Supply Chain, Logistics, Business, or related field preferred.
  • Experience in a regulated manufacturing environment preferred.
  • Experience with medical device, pharmaceutical, or ISO-regulated manufacturing environments is highly desirable.
  • Experience processing international shipments and export documentation preferred.

Responsibilities

  • Process daily shipments within Epicor ERP, ensuring all transactions are completed accurately and on time.
  • Create and manage shipments through UPS, FedEx, LTL, FTL, courier, and international carrier portals.
  • Coordinate shipment schedules and carrier pickups to meet customer delivery requirements.
  • Verify shipping information, quantities, lot numbers, and packaging prior to release.
  • Ensure all customer-specific shipping instructions and routing requirements are followed.
  • Maintain shipping records and documentation in accordance with company procedures.
  • Prepare and distribute shipping documents including: Packing slips, Bills of Lading, Commercial invoices, Export documentation, Certificates of Conformance, Customer-required forms.
  • Ensure compliance with customer requirements, export regulations, and company quality standards.
  • Complete all end-of-day shipping documentation and attach required records to packing slips and shipment files.
  • Upload shipment information, documentation, and tracking details to customer portals as required.
  • Maintain accurate shipment traceability records in support of medical device manufacturing requirements.
  • Coordinate domestic and international shipments using the most efficient and cost-effective transportation methods.
  • Communicate with carriers regarding shipment status, pickups, delivery schedules, and freight claims.
  • Monitor shipments and proactively address delivery delays or transportation issues.
  • Assist with freight quotes and transportation cost comparisons when required.
  • Support continuous improvement initiatives related to shipping accuracy, efficiency, and cost reduction.
  • Maintain inventory transaction accuracy related to shipped products.
  • Support inventory cycle counts and physical inventories as required.
  • Assist with receiving, warehouse organization, and material movement activities when necessary.
  • Ensure finished goods are properly staged and prepared for shipment.
  • Provide shipment status, tracking information, and proof of delivery documentation to internal teams.
  • Work closely with Customer Service, Planning, Quality, and Production to support customer delivery commitments.
  • Respond promptly to shipping-related inquiries and resolve issues professionally and effectively.
  • Follow all company safety procedures and warehouse operating standards.
  • Maintain compliance with ISO 13485, FDA, customer, and company quality requirements.
  • Participate in training and continuous improvement activities.
  • Maintain a clean, organized, and audit-ready shipping area.
