About the position

The Service Writer serves as the primary liaison between customers and repair technicians at Forward Diesel Repair. This role is essential for ensuring that all work orders are processed accurately and efficiently, while maintaining a positive company image in customer interactions. The Service Writer is responsible for managing service appointments, preparing repair orders, and providing customers with clear and accurate quotes for services.

Responsibilities

  • Answer incoming phone calls and greet walk-in customers in a timely and friendly manner.
  • Schedule service appointments and obtain customer and vehicle data prior to arrival when possible.
  • Prepare, open, maintain, and close repair orders.
  • Accurately write up customer's vehicle problems on repair orders.
  • Refer to service history, inspect vehicles, and recommend additional services needed.
  • Provide customers with complete and accurate written quotes for repairs, including timelines.
  • Obtain customer signatures on work orders and update them on any changes in quotes or timelines for repairs.
  • Explain work and all charges to customers, maintaining high customer satisfaction standards.
  • Maintain a follow-up program on service repairs and additional items found in need of repair.
  • Handle customer inquiries in person and on the phone.
  • Follow up with customers regarding parts ordered for warranty repairs and scheduling repairs once parts are sourced.

Requirements

  • Heavy Truck, Diesel or Trailer Service Writing experience.
  • Experience with Mitchell Heavy-Duty Shop Management System is a plus.
  • High school diploma or GED.
  • Proficient computer and Microsoft skills for effective communication with shop foreman and technicians.
  • Ability to multi-task and manage time effectively.
  • Strong listening and communication skills for professional customer assistance.
  • Must pass background check and drug screen.
  • Strong personal organizational skills related to workload and time management.

Nice-to-haves

  • 3 years of experience as a service writer/advisor (preferred).
