About the position

The Senior Scientific Administrator at Cold Spring Harbor Laboratory (CSHL) plays a crucial role in providing administrative support to multiple faculty members within a prestigious biomedical research institution. This position requires exceptional organizational skills, strong communication abilities, and a high level of professionalism to manage various administrative tasks effectively, ensuring the smooth operation of research activities.

Responsibilities

  • Provide administrative support to multiple faculty members and their research groups.
  • Manage calendars and schedule both in-person and remote meetings.
  • Coordinate seminar series and other scientific meetings, including organizing speakers and travel reimbursements.
  • Reconcile corporate credit card statements monthly.
  • Prepare regulatory compliance forms and facilitate recruitment of lab staff.
  • Maintain publication databases and assist with oversight of expenses and budgets.
  • Organize travel and order office supplies as needed.
  • Maintain updates of bio-sketches, CVs, and grant information for faculty members.
  • Assist in the preparation and submission of grant applications and progress reports, tracking due dates and coordinating with relevant departments.

Requirements

  • Bachelor's degree required.
  • Minimum of 7 years of experience providing senior level administrative support, preferably in an academic environment.
  • Experience in grants management is preferred.
  • Advanced proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, and Outlook.
  • Outstanding organizational, time management, prioritization, and problem-solving skills.
  • Excellent interpersonal, oral, and written communication skills.
  • Ability to exercise judgment and discretion in dealing with sensitive and confidential information.
  • Ability to work independently with minimal guidance.
