About The Position

Reporting to the Assistant Manager, Individual Insurance Administration, the Sales and Service Administration Representative is responsible for providing information and administrative support to OTIP’s Individual Insurance Sales, Service, and Underwriting departments. This involves resolving member issues, enhancing the departments’ customer service effectiveness and providing administrative assistance to Broker Management and Representatives.

Requirements

  • A secondary school diploma.
  • A RIBO license, AIC license or LLQP license / LOMA courses.
  • A minimum of one year’s experience in an office environment.
  • A minimum of one year’s experience in the insurance industry or a related field.
  • Exceptional communication skills and the demonstrated ability to deal effectively with all levels of internal and external stakeholders.
  • Superior time management, project management and organizational skills to manage competing priorities.
  • Intermediate knowledge of Microsoft Office Suite applications and experience with broker management systems.

Nice To Haves

  • The ability to communicate in French is considered an asset.

Responsibilities

  • Processes daily correspondences, which include reviewing, sorting, completing and routing incoming department correspondence. Initiates communications, as required.
  • Reviews and responds accordingly to customer and third party requests. This includes, but is not limited to, contacting members and third parties for additional information, assisting with walk-in clientele and returning messages.
  • Initiates communications and follow up requirements to members and appropriate parties to request or verify information as required. This includes following established department procedures.
  • Reviews all new business applications to ensure they are completed properly. Enters policy information and follow-up notes for outstanding documentation as required.
  • Audits and updates policy information on the broker management system to ensure accuracy of data and policies.
  • Completes administrative requests, which includes assembling information and documents, sending documents to members, preparing member or prospect letters, and/or making changes to policies.
  • Acts as a liaison between members and Brokers. Establishes contact and develops relationships with education affiliate prospects and members. Answers incoming telephone calls using the Automatic Call Distributor (ACD). Pre-qualifies risks, obtains necessary information to finalize sales, follows up on expiry dates, screens and follows up on leads generated from marketing campaigns. Processes and distributes online quotes as the primary Lead Coordinator.
  • Responds to telephone inquiries and written requests from both internal and external stakeholders. This includes answering general account inquiries, processing billing changes directly on the carrier’s online system, and assessing risk according to binding requirements and client payment history.
  • Processes policy cancellations and reinstatements as requested by members and underwriters.
  • Provides quality service while adhering to customer service standards and keeps information confidential to protect operations.
  • Performs other duties within competence, as assigned.
