About the position

The SAH Department Secretary is responsible for managing clerical information, scheduling, and office management functions within the department. This role ensures efficient workflow, accurate reporting, and effective communication among patients, physicians, and management staff. The secretary plays a crucial role in enhancing patient satisfaction and operational efficiency through various administrative tasks.

Responsibilities

  • Ensures appropriate information is gathered and prepared for reports, meetings, and correspondence.
  • Organizes and maintains workflow patterns, procedures, and equipment for maximum efficiency.
  • Actively participates in departmental and hospital committees, projects, and interviews, maintaining minutes as appropriate.
  • Schedules patients and manages associated information to improve volume, revenue, and patient satisfaction.
  • Investigates and resolves complaints from patients and physicians regarding office functions with minimal supervision.
  • Participates in developing and monitoring departmental operational and capital budgets.
  • Analyzes situations, tracks root causes, and implements short and long-term solutions.
  • Maintains organized, safe, and presentable office and reception areas.
  • Responds to all service demands in the department and assists with tasks assigned by the manager.
  • Completes work assignments within an acceptable time frame and uses resources effectively.
  • Develops and maintains efficient working relationships and is reliable in attendance and punctuality.
  • Recognizes the importance of teamwork and partners with others to achieve positive outcomes.
  • Offers creative solutions to issues and strives to improve the quality of work.

Requirements

  • Completion of a two-year program of Secretarial Training or five years of experience as a Secretary required.
  • Associate's Degree in a related field with secretarial experience preferred.
  • Demonstrated ability to treat customers with courtesy, respect, and compassion.
  • Ability to respond to questions and requests in a timely manner.
  • Skillful handling of interruptions and maintaining a professional appearance and demeanor.
  • Responsible for ongoing development of work skills through available resources.

Nice-to-haves

  • Experience in a healthcare setting is preferred.
  • Familiarity with hospital policies and procedures.
