About the position

The Rooms Controller is the liaison between Front Office, Housekeeping, and Food and Beverage with emphases placed on VIP's, High profile groups, and special room request. This position involves assigning and instructing housekeeping on arriving VIP, group, and special room type needs for a business day, informing various departments of high profile arrivals and departures, and monitoring room statuses to prevent waits at the front desk. The Rooms Controller also assists with check-ins and check-outs, coordinates the delivery of amenities to VIP rooms, and prepares daily forecasts of expected arrivals and departures.

Responsibilities

  • Assigns and instructs housekeeping on arriving VIP, group, and special room type needs for a business day.
  • Informs Front of House, Guest Service Agents, Operators, and Bell Attendants of high profile arrivals and departures.
  • Monitors rooms statuses to prevent waits at the front desk.
  • Blocks all arrivals for a business day.
  • Assists Front of House, Guest Service Agents, Operators, Reservation Agents, Bell Attendants, and other departments with any questions or requests.
  • Assists Front desk with check-ins and check-outs.
  • Coordinates the delivery of amenities to VIP rooms.
  • Prepares a list of repeat guests and VIPs and distributes it to all departments.
  • Prepares and conducts daily pre-shift meetings.
  • Takes control of all transactions at the front desk during a property management system crash.
  • Completes daily checklists of duties and prepares room discrepancy reports.
  • Pre-registers all VIPs to ensure rooms are inspected and amenities are delivered correctly.
  • Operates office equipment such as facsimile and photocopier as needed.
  • Responds promptly to guest requests.

Requirements

  • At least one year of Front Desk experience or equivalent schooling in hospitality management.
  • Moderate computer skills and considerable training in Microsoft Office applications.
  • Advanced knowledge of OnQ (property management system).
  • Basic mathematical skills and considerable skill in the use and operation of a calculator.
  • Ability to communicate orally and verbally in English.
  • Ability to see and hear to observe and detect signs of emergency situations.
  • Ability to work under pressure and deal with stressful situations during busy periods.

Nice-to-haves

  • Some experience in housekeeping preferred.
  • Prior hospitality and/or communications experience preferred.
  • Additional language skills preferred.
