About the position

The Reservation and Sales Director at the West Side YMCA is responsible for leading the Reservations department and supporting the Guest Rooms and Residence departments. This role involves managing group sales, third-party reservations, invoicing, and billing, while also collaborating with other directors to ensure effective operations and revenue management. The position emphasizes a people-first approach and aligns with the YMCA's mission to empower and strengthen community connections.

Responsibilities

  • Manage all Group Sales.
  • Manage all third-party reservation agreements and associated reservations.
  • Manage invoicing and billing for all Guest Rooms-related accounts.
  • Serve as a PMS administrator (Infor HMS).
  • Manage the day-to-day operations of the Reservations and Sales office.
  • Respond to reservation inquiries.
  • Assist as needed with configuration and maintenance of PMS, CRS, and connected software.
  • Work closely with other branch directors to ensure system-wide policies and procedures are in place.
  • Train Guest Rooms and Residence staff as needed.
  • Provide supporting leadership and assistance to the Front Desk as needed.
  • Assist as needed with revenue management and sales strategies.
  • Provide support as needed to the Inclusionary Housing/Residence Director and residents.
  • Uphold all Association policies and demonstrate the YMCA's core values of Respect, Responsibility, Caring, and Honesty.
  • Support a positive image of the YMCA in the community and practice good public relations.
  • Other duties and activities, as needed, to support the successful operation of the branch and the Guest Rooms and Residence departments.

Requirements

  • High School diploma or equivalent required; bachelor's degree preferred.
  • Minimum of six (6) years of progressive hospitality experience with at least one (1) year of supervisory experience; OR a 4-year college degree in a relevant field and at least two (2) years of progressive hospitality experience with at least one (1) year of supervisory experience.
  • Experience with hotel/hostel operations, reservations and accounting.
  • Leadership experience in a hotel/hostel business.
  • Experience with one or more PMS and/or CRS systems.
  • Solid project management skills and must be very organized.
  • Responsive and have excellent communication skills.
  • Experience working various schedules and being 'on-call' when not in the office.
  • Data analysis experience.
  • Experience communicating with C-level staff.
  • Must be available to work after normal business hours and on weekends.
  • Must be available to work flexible hours, including weekends and on-call.
