About the position

The Office of Research Compliance (ORC) at the University of North Texas Health Science Center is located within Research Administration and the Division of Research. The ORC works with offices responsible for specific components of research compliance and university research oversight committees such as the Institutional Review Board, Institutional Biosafety, Institutional Animal Care and Use, Research Conflict of Interest committees and the Export Control Office to ensure the responsible conduct of research and compliance with university policies and federal regulations related to research activity. The office oversees development and implementation of policies, procedures, and educational activities which satisfy university policies, state, and federal regulations governing the conduct of research. The ORC is responsible for monitoring regulatory updates and making recommendations to the university to ensure compliance. The Office of Research Compliance (ORC, which includes the North Texas Regional Institutional Review Board [NTR IRB], the Institutional Animal Care and Use Committee [IACUC], Research Conflict of Interest Committee [RCOI], and oversees Research Integrity [RI]), is seeking to hire a Research Compliance Business Coordinator to join our team. This position is responsible for providing executive, administrative, and analytical support to the ORC. Other tasks include assisting with special projects and budgetary activities, coordinating the collection and analysis of data and the preparation of materials for meetings and conferences, identifying issues or problems and researching solutions within specific management areas. Duties reflect substantial variety and complexity. Assignments are broad in nature and usually require creativity and originality. The incumbent will serve as a resource for others in the resolution of complex problems and issues. Additional tasks may include: review of initial project submissions for completeness and clarity; providing initial follow-up with researchers and investigators regarding their submissions; creating database records for new studies received; participating in weekly process improvement huddles and projects. In addition to working closely with the leadership and team members within the ORC, this position may also communicate with other units within the Division of Research and Innovation (e.g., Office of Sponsored Programs, Finance and Accounting, HSC Next, DLAM, etc.) at HSC as well as research collaborating departments within HSC and externally.

Responsibilities

  • Serve as a point person for maintenance, mailing, supplies, and bills within the department.
  • Oversight and provision of general administrative support to departmental operations, including purchasing, business records, travel, office equipment and supplies and management of administrative office.
  • Assist in organizing and scheduling meetings and appointments.
  • Support all meeting planning and preparations for various research compliance committees (NTR IRB, IACUC, RCOI, RI), in addition to other ORC meetings.
  • Prepare invoices, reports, memos, letters, communications, financial statements and other documents.
  • Manage incoming communications from various institutional and external partners.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Manage and direct office services, such as records, departmental finances, budget preparation.
  • Organize office operations and procedures where necessary.
  • Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Assist in planning best allocation and utilization of space and resources.

Requirements

  • Bachelor's degree and three (3) years of related experience; or any equivalent combination of education and experience.
  • Excellent communication and interpersonal skills.
  • Ability to work independently, determine priorities, and make appropriate decisions.
  • Strong analytical and problem-solving skills.
  • Ability to be self-sufficient and an ability to work with minimal supervision.
  • Attention to detail.
