About the position

The Release of Information Analyst at Lucile Packard Children's Hospital is responsible for managing the release of patient documents and records from Electronic Medical Records (EMR). This role ensures that all requests for medical records are processed accurately, timely, and in compliance with state, federal, and hospital guidelines. The analyst will handle inquiries related to the release of information and manage the financial aspects associated with these requests.

Responsibilities

  • Ensure accurate, timely, and complete release of patient documents and records from EMR.
  • Prepare, document, process, and complete medical records requests in accordance with guidelines.
  • Collect and process funds for records processed by the Health Information Medical Services department.
  • Answer all inquiries related to the Release of Information process.
  • Process release of information requests in compliance with HIPAA and organizational regulations.
  • Create and send invoices for ROI requests and prepare funds for the Finance Department.
  • Review Death Certificates for accuracy and receive training on processing them.
  • Process protected adolescent/confidential records and mental health records as required by law.
  • Manage Patient Financial Services records requests through insurance companies.
  • Sort and process mail using postal sorting machines.
  • Log and invoice release of information requests into the system and process checks.
  • Coordinate with patients for MyChart, InBasket, and MD Portal sign-up to facilitate information release.
  • Identify and merge duplicate records in Epic.
  • Manage specific Release of Information Epic Work Queues based on request types and time requirements.
  • Print, assemble, and return patient records as needed.
  • Utilize various methods to verify information in medical records and validate requestor identification.
  • Update provider access in Epic.

Requirements

  • High school diploma or GED equivalent.
  • No prior experience required.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient data entry and typing skills.
  • Ability to operate office equipment such as copiers, faxes, and scanners.
  • Strong organizational and prioritization skills to meet deadlines.
  • Ability to work effectively with individuals at all levels of the organization.
  • Knowledge of computer systems and software used in the functional area.
