The OpportunityReporting to the Manager, Ambulatory Surgical Care, and under the direction of the Clinical Leader, the Registration and Scheduling Clerk is responsible for patient scheduling, timely registration, and processing of patients with appointments in the Orthopaedic Clinic. The Registration and Scheduling Clerk interacts with colleagues, patients, families, students, and partners in a respectful and collaborative manner, keeping with the principals of family centred care, and Health Centre standards to meet the needs of patients and families.

Requirements

  • Minimum High School Diploma or GED required.
  • Working knowledge of MS Office Suite and other computer programs/technology required.
  • Demonstrated knowledge of medical terminology required.
  • Previous experience in registration and scheduling required, preferably in an ambulatory health care setting.
  • Previous experience with Meditech and CWS required.
  • Demonstrated accurate keyboarding and data entry skills required. Testing will be conducted on short-listed candidates and results will be factored into the candidate’s overall suitability for this position.
  • Proven team player with excellent communication skills required.
  • Demonstrated ability to respectfully work with a variety of inter-professional team members required.
  • High degree of initiative, diligence, attention to detail, and self-discipline and support the development of co-workers required.
  • Excellent multi-tasking, time management, organizational and prioritization skills required.

Nice To Haves

  • Graduate of a recognized Office Administration Program an asset.
  • Competency in other languages considered an asset; French Preferred.

Responsibilities

  • Registering patients for the Orthopaedic Clinics, greeting and directing clients;
  • Making reminder phone calls to patients about upcoming clinic appointments;
  • Scheduling new and follow up patient appointments; coordinating with various departments within the Health Centre to book patient appointment.
  • Answering phone calls, communicating messages and information accurately and appropriately, and redirecting inquires accordingly.
  • Participating in care team discussions as required, offering input and energy into efforts at improving clinic efficiency and functioning;
  • Accurately entering/revising patient information in CWS/Meditech;
  • Completing various health forms;
  • Maintaining adequate supplies and order as needed;
  • Providing general support to clients and staff (e.g., requisitioning lab, DI tests/procedures, filing, photocopying, making telephone calls, workload data, etc.);
  • Others duties as required.
