About The Position

We are seeking an upbeat, outgoing, and highly organized team player who is a self-starter and consistently demonstrates exceptional customer service and communication skills. The Receptionist works at the front desk or reception area, interacting regularly with visitors, clients, and staff. The role requires the ability to remain seated or standing for extended periods, use standard office equipment such as computers, telephones, and printers, and manage multiple tasks in a fast-paced setting. A high level of professionalism, organization, and confidentiality is expected at all times.

Requirements

  • 1+ years of relevant experience
  • Positive attitude and willingness to take on additional responsibilities
  • Working knowledge of computers, and other office equipment, including experience with Microsoft Office Suite, a multi-line phone system, emailing, scanning, and adaptable to web based program tracking
  • Strong ability to organize and prioritize
  • Excellent written and verbal communication skills
  • Excellent writing/editing and proof-reading ability
  • Professional, confident and welcoming manner
  • High school diploma and one year of administrative experience required
  • Must pass a pre-employment screen, including but not limited to: drug and alcohol screen, background check, motor vehicle records check, reference check and physical (if applicable)
  • Current and valid drivers’ license in the state of permanent residence (must be insurable by Jayne’s automobile insurance carrier in order to drive a Jayne’s vehicle or a personal vehicle for company purposes)

Responsibilities

  • Answers telephones and directs the caller to the appropriate employee with a friendly, welcoming and courteous tone
  • Greets and directs visitors to the company
  • Takes and retrieves messages for various personnel
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website, project manager names and phone numbers, where to send bids for submittal and other related information
  • Receives, sorts and forwards incoming mail
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking and distribution of office supplies
  • Assists with other related clerical duties such verifying certified payroll from subcontractors, assisting project management with document tracking
  • Ability to travel and remain eligible to operate a company vehicle or a personal vehicle for company purposes per Fleet Safety Management policy
  • Perform other duties and responsibilities as assigned
