The Receptionist at Henning Inc serves as the first point of contact for clients, partners, and visitors, playing a crucial role in creating a welcoming and professional environment. This position involves managing front desk operations, handling phone lines, providing information about services, and supporting various administrative tasks. The ideal candidate will possess excellent interpersonal skills and a commitment to serving vulnerable populations.

Responsibilities

  • Greet clients, visitors, and staff in a friendly, professional, and compassionate manner.
  • Answer incoming calls, respond to inquiries, and direct calls or emails to the appropriate staff members.
  • Provide information about the organization's services and programs and assist clients with intake forms and appointments.
  • Assist with data entry, filing, copying, and other general office tasks.
  • Maintain a list of community resources and services for client referrals; distribute informational materials as needed.
  • Ensure the reception area and lobby are clean, organized, and stocked with necessary materials.
  • Handle sensitive client information with the highest level of confidentiality and professionalism.
  • Work closely with program staff to provide seamless support to clients and ensure efficient office operations.

Requirements

  • High school diploma or equivalent required; additional education or certification in office administration is a plus.
  • Previous experience as a receptionist, administrative assistant, or in a customer service role preferred, especially within a nonprofit or human services setting.
  • Strong verbal and written communication skills.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Compassionate, patient, and empathetic approach when working with diverse and vulnerable populations.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic data entry skills.
