About the position

The position involves processing tenant applications, which includes marketing the property, accepting and receiving applications, and qualifying applicants through credit and criminal background checks, as well as verifying income and references. The role also requires maintaining a waiting list, showing apartments, and reviewing lease contracts with tenants. Additionally, the position entails annual re-certification of tenants, reinforcing lease agreements, and preparing for audits. The individual will be responsible for collecting rents, posting to the database, making bank deposits, and maintaining tenant and unit files in compliance with regulations. Move-in and move-out inspections are also part of the duties, along with coordinating repairs and maintenance needs to ensure units are ready for re-renting. The role includes processing accounts payable, attending training classes, preparing reports, and maintaining cleanliness and safety in community spaces.

Responsibilities

  • Process tenant applications including marketing the property and qualifying applicants.
  • Annually re-certify tenants and reinforce lease agreements and house rules.
  • Review and prepare for audits.
  • Assign tasks and review timecards for Key holders.
  • Collect rents, post to database, and maintain tenant and unit files.
  • Perform move-in and move-out inspections with tenants.
  • Assist with periodic inspections.
  • Process accounts payable on a weekly basis.
  • Attend training classes and seminars for property certification.
  • Prepare weekly and monthly reports.
  • Process work orders and notify maintenance staff of needed repairs.
  • Maintain a maintenance file for each unit.
  • Check community spaces for cleanliness and safety.
  • Maintain control of keys for apartments and common areas.
  • Assist tenants with organizing cultural and national celebrations.
  • Maintain the community room calendar and review policies with tenants.
  • Coordinate self-sufficiency programs and recreational activities for tenants.
  • Prepare for emergencies with mapping of gas shutoff valves and escape routes.
  • Perform other duties as assigned.

Requirements

  • General computer literacy.
  • Proficiency in Microsoft Office, especially in Word and Excel.
  • Strong verbal and written communication skills.
  • Ability to work with people of all cultures and economic statuses.
  • Bilingual (English/Spanish) may be required and is highly preferred.
  • Ability to provide professional and courteous customer service.
  • Works collaboratively in a team environment.
  • Ability to prioritize, multitask, and meet deadlines autonomously.
  • Experience working in an office environment and using office equipment.
  • Experience in affordable housing property management is highly desired.
  • Proven ability to maintain confidentiality with proprietary and personal information.
  • Valid CA driver’s license, proof of auto insurance, and access to a reliable vehicle.
