About the position

The Property Management Coordinator plays a crucial role in supporting the day-to-day operations and tenant relations of assigned properties. This position serves as the primary point of contact for tenant services, ensuring effective communication and coordination of maintenance services while managing various administrative tasks to maintain operational efficiency.

Responsibilities

  • Assist Property Management with day-to-day operations and tenant relations.
  • Create purchase orders and service contracts, and process vendor invoices.
  • Perform Accounts Payables duties and ensure timely processing of invoices.
  • Review invoices and communicate with vendors regarding discrepancies.
  • Manage and track sustainability statistics for the portfolio.
  • Maintain insurance certificate files for contractors.
  • Execute billing of tenant work orders for billable services.
  • Assist with scheduling contractor work and coordinate with tenants.
  • Provide administrative support and phone coverage for property management operations.
  • Gather and input data for property budgets.
  • Promote and maintain positive relations with tenants.
  • Answer and route phone calls and emails from tenants and vendors.
  • Assist tenants and vendors with scheduling maintenance and building procedures.
  • Notify Property Manager of repeat tenant complaints.
  • Provide high-quality customer service and support tenant retention programs.
  • Coordinate tenant notifications for events and activities.
  • Update and maintain tenant contact lists and information manuals.
  • Support Property Managers with various forms and documentation.
  • Maintain organized filing systems for properties and invoices.

Requirements

  • High school diploma or equivalent certification required; Bachelor's degree preferred.
  • 0 to 3 years of previous customer service experience preferred.
  • Prior administrative experience and experience in property and real estate management highly desirable.
  • Proven customer service and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to listen, think clearly, and communicate effectively in challenging situations.
  • Demonstrated proficiency with Microsoft Office Applications.
  • Ability to organize and coordinate work efficiently and set priorities.
  • Ability to work independently and as part of a team.
  • Ability to work under pressure and meet deadlines.
  • Flexibility to work beyond the regular work schedule.
