About the position

The Property Assistant will provide comprehensive administrative support to a team of Property Managers, focusing on property management administration and reporting. This role involves responding to tenant/customer service requests, preparing various operational and financial reports, and assisting in budget preparation and control activities.

Responsibilities

  • Provide assistance to Property Managers in all administrative aspects of property management.
  • Respond to tenant/customer service requests for a portfolio of investment and corporate properties.
  • Compile and assist in the preparation of monthly and periodic property operational, administrative, and financial reports.
  • Ensure financial controls and business processes are in place for monitoring and reporting expenditures.
  • Coordinate property-related document administration, including memoranda, letters, and monthly reports.
  • Create transcription from Dictaphone and ensure the accuracy of documents.
  • Delegate calls to property service technicians and follow up with tenants or property managers as required.
  • Compile information and prepare reports such as Lease Abstracts, Vendor Insurance Certificates, and Property Emergency Call Lists.
  • Develop and maintain property filing and tracking systems for reports and documents.
  • Assist Property Managers in annual budget preparation and development.
  • Administer and print various property accounting reports for Property Manager review.
  • Administer vendor, RE Tax, and other property invoices, ensuring proper processing and entry into the accounting system.
  • Organize and schedule meetings, preparing necessary materials and interacting with attendees.
  • Assist in monthly tenant billing adjustments and collections of tenant receivables.
  • Monitor and order general office supplies as needed.

Requirements

  • Bachelor's Degree or High School Diploma/General Education Degree (GED).
  • Minimum 3-4 years of previous related experience, preferably in a Real Estate background.
  • Proficient in MS Word, MS Excel, and E-Mail.
  • Working knowledge of Internet and Internet Searching Techniques.
  • Ability to work independently with minimal supervision.
  • Flexibility to handle changing priorities and projects.
  • Strong proofreading and editing skills.
  • Excellent interpersonal skills and attention to detail.
  • Discretion regarding personnel and industry-related matters.
  • Broker or salesman license as required for property management in the state where business is transacted.

Nice-to-haves

  • Experience in property management or real estate administration.
