The Project Coordinator is responsible for coordinating, through partnership with Project Managers and other project team members, all clerical and administrative support functions for projects within the designated region. May assist in all phases of the projects, from procurement through close out.

Responsibilities

  • Assist Project Managers with various clerical and administrative functions associated with any or all phases of U.S. Engineering projects – from procurement through job close out.
  • Create, maintain and/or control all project documentation.
  • Coordinate the distribution of job documents to both internal and external parties, as necessary or as appropriate per company procedures.
  • Write, edit, or transcribe general correspondence and/or project documents.
  • Monitor and document project status and other project information for current, bidding, and targeted projects.
  • Maintain organized filing system for all project documentation.
  • Interface with both internal and external individuals involved in the projects.
  • Utilize company accounting system to enter or update project data and other pertinent information.
  • Participate in or coordinate special assignments related to project administration.
  • Provide reception support and other administrative tasks as needed.
  • Set up and manage Procore and Bluebeam sessions.
  • Keep contract documentation organized and current on Procore.
  • Assist with submittal procurement and product procurement/tracking.
  • Facilitate vendor RFP.
  • Track WBS and Work pack.
  • Build and maintain internal and external relationships.

Requirements

  • High School Diploma or equivalency (GED) required.
  • Minimum of two years administrative support or clerical experience required.
  • Experience in construction industry project administration highly preferred.
  • Must possess at least Intermediate level proficiency in MS Office Suite: Word, Excel, and PowerPoint.
  • Accuracy with data entry utilizing accounting system.
  • Sharp attention to detail and superior organizational skills.
  • Ability to be flexible and adapt to shifting priorities.
  • Excellent communication and writing skills.
  • Ability to develop and foster effective professional relationships, internally and externally.
  • Excellent time management skills, combined with keen sense of urgency to deliver results and meet project deadlines.
  • General knowledge of construction industry and various construction documents is preferred.

Nice-to-haves

  • Business School or general business administration coursework may be beneficial.

  • The range for this position has been established at $24.65/hour - $34.82/hour per year.
