About the position

The position involves supporting the Department of Psychiatry's faculty affairs by coordinating various administrative tasks related to faculty recruitment, appointments, promotions, and credentialing. The role requires close collaboration with HR, faculty members, and various medical institutions to ensure accurate and up-to-date faculty data and smooth operational processes.

Responsibilities

  • Works closely with HR on all faculty searches and new hires.
  • Tracks all faculty searches, prepares offer letters and follows all appointment activity.
  • Maintains accurate and up-to-date faculty data for all faculty members.
  • Updates and maintains the faculty database continuously.
  • Collaborates with various medical institutions to ensure faculty are privileged and credentialed.
  • Processes offer letters, privilege templates, and observation requests.
  • Coordinates the faculty promotion process, including committee meetings and letter preparations.

Requirements

  • Associate's degree with 3 years of experience (at least 2 years supporting an executive or comparable level position), or equivalent education and experience required.
  • Proficiency in Microsoft Office Suite, FileMaker Pro, and most social media platforms required.
  • Exceptional written and verbal communication skills required.
  • Exceptional proofreading skills required.
  • Ability to work independently, assess priorities, and organize workload required.
  • Ability to take initiative and coordinate in a team setting required.
  • Strong attention to detail and ability to set and fulfill high standards.

Nice-to-haves

  • Bachelor's degree preferred.
