About The Position

As a Process Quality Manager, you are responsible for planning, compliance, and monitoring functions within a facility. This role is expected to act as an advisor and work hand in hand with the facility Director of Operations. This role's responsibilities include but are not limited to: day-to-day and long-term strategic operational planning, ensuring compliance to corporate policies, procedures, and internal controls, leading initiatives to positively impact bottom-line costs through compliance, cost analysis, root cause analysis, creation of action plans, driving desired results, and ensuring they are being sustained.

Requirements

  • Working knowledge and understanding of P&L.
  • Advanced proficiency with personal computer operations and Microsoft Office applications.
  • Ability to analyze trends and identify opportunities for improvement.
  • Leadership skills including team and relationship building, communication, coaching, influence, and conflict resolution.
  • Three or more years of experience in operations management function and hands-on experience related to warehouse experience highly desired.
  • Bachelor's Degree - Business, Bachelor's Degree - Logistics Management, or Bachelor's Degree - Operations & Supply Chain Management.

Responsibilities

  • Lead facility's strategic planning activities including performing quarterly future states, quarterly forecasts, annual budgets, and holiday planning.
  • Lead all reporting including IC, headcount, time and attendance.
  • Manage teams including Payroll Specialist, Warehouse Administrator, and Discipline Coordinator.
  • Continuously observe, seek out areas of opportunity, and initiate improvement programs to lead the facility to operational excellence.
  • Monitor and measure the results of established programs.
  • Create and maintain successful cross-functional partnerships by working jointly with the DO on eliminating obstacles detrimental to the success of the programs.
  • Manage consistent follow-up to ensure results are being sustained.
  • Lead facility startups, transitions, and business changes from a planning perspective.
  • Conduct analysis (using PQM toolbox) to determine and support the plan.
  • Maintain facility-staffing reports such as Long Term Staffing and Terms and Transfers with the highest degree of accuracy.
  • Conduct audits to ensure integrity of information.
  • Work with ops and HR to determine hiring plan and monitor to make sure the building stays on plan.
  • Actively participate in staffing and senior leadership meetings, report on and educate the ops team on KPIs and trends.
  • Cultivate partnership with the facility DO.
  • Advise the DO on proper action plans and specific steps that need to be taken in order to improve.
  • Lead the facility management and supervision through the proper execution of corporate policies and programs in direct alignment with corporate goals.
  • Establish and administer periodic evaluations, examine each area's performance on maintaining policies.
  • Ensure compliance with company policies and protocols by driving facility compliance to policies and protocols.
  • Ensure regular self-audits are being completed and issues are being resolved.
  • Conduct monthly compliance audits.
  • Report results to the DO and leadership team.
  • Use operational knowledge and expert partners to identify specific issues, determine root causes of noncompliance, and determine a solution and formulate action plans for improvement.
  • Drive development and documentation of standard operating procedures for any areas that might not be already covered by corporate policies and procedures or are in need of additional protocols; partner and consult with a corporate area expert to ensure that no other policies are compromised.
  • Assist with implementation.
  • Serve as the facility's sole resource in the process of establishing or revision of corporate policies and procedures to ensure that facility's specific needs are being considered.
  • Generate scorecards illustrating the facility's key quality indicators including quarterly and weekly trends and comparisons.
  • Summarize and interpret the scorecard and audit results for the DO.
  • Provide regular reporting and updates to leadership including weekly warehouse cost projections comparing to actuals, spelling out misses and variances, and providing a complete P&L breakdown to DO.
  • Provide building daily, weekly, monthly, quarterly KPI info to DO and ops team.
  • Interpret results, raise red flags, and propose solutions.
  • Provide the leadership team with critical information in order to further compliance with corporate protocols on a daily basis, with emphasis on reducing operational expenses.
  • Act as a point person for all salary new hires.
  • Plan onboarding schedules, system access, and equipment needs.
  • Maintain a close collaborative relationship with other Process Quality Managers in order to share and adapt ideas and best practices.
  • Responsible for reviewing and approving all expense requests under $5,000 and their proper allocation to the correct P&L line as well as staying within the weekly, monthly, and quarterly budget.
  • Perform all other duties as assigned.
