About the position

The American Bar Association (ABA) is seeking a Grant and Contracts Manager for ProBAR, a project dedicated to empowering immigrants through high-quality legal information and representation. This position is based in Harlingen, TX, and is responsible for managing grant accounting and reporting, as well as overseeing office operations. The Grant and Contracts Manager will review accounting transactions to ensure compliance with grantor requirements and applicable regulations. This role is crucial in maintaining the financial integrity of the organization and ensuring that all expenses are allowable under the terms of the grants. The Grant and Contracts Manager will be tasked with reviewing monthly operating expense reports for completeness and accuracy, tracking and maintaining all expenses, and identifying any non-allowable expenses. This position will also assist in the preparation of grant budgets and reports, ensuring that all financial documentation is in order and compliant with contract specifications. Collaboration with vendors and funders will be essential, as will the ability to provide training to staff on accurate spending and reporting practices. In addition to financial oversight, the Grant and Contracts Manager will play a key role in the organization’s commitment to diversity and inclusion, helping to eliminate bias and enhance access to justice for all. Responsibilities

  • Manage grant accounting and reporting for ProBAR.
  • Review monthly operating expense reports for completeness, accuracy, and compliance with assigned grants.
  • Track and maintain all expenses, identifying non-allowable expenses and providing recommendations.
  • Assist with the preparation of grant budgets for review and approval.
  • Review general ledgers monthly and report on remaining funding of specific grants.
  • Assist in the preparation of grant reports and private donor reports.
  • Review monthly invoicing to ensure compliance with contract specifications.
  • Collaborate with vendors and funders on expense inquiries and supporting materials.
  • Maintain information on grant closing and amounts due back to funders.

Requirements

  • Bachelor's degree or equivalent accounting experience.
  • Experience in grant management and oversight of financial transactions with nonprofit organizations.
  • Demonstrated fiscal management skills, including budget management and grant administration policies.
  • Intermediate proficiency with Microsoft Office products (Word, Excel, OneDrive, Teams).
  • Familiarity with conducting virtual meetings and training using software such as Zoom and Teams.

Nice-to-haves

  • Previous experience interacting with program support staff, donors, and/or grantors within a non-profit organization.
  • Familiarity with grants management software and databases.
