About the position

The position is responsible for overseeing the Office of Philanthropy's financial management and database integrity activities. This includes executing and maintaining effective financial policies and appropriate accounting controls, ensuring compliance with gift agreements, and reporting from Treasury and Accounting to ensure proper handling and recording of financial activity. The role involves monitoring budgetary expenditures and managing the philanthropy database Financial Edge general ledger. The individual will ensure the integrity of the philanthropy database, design and execute fundraising and financial reports, and collaborate with fund administrators and managers to maintain accurate financial records. The position works with multiple sources of funding, which may include state/federal, restricted, endowed, grant, and contract funds.

Responsibilities

  • Meets monthly reconciliation and financial close deadlines with accuracy, preparing and submitting journal entries and reports to Accounting.
  • Monitors expenditures, fund allocations and related financial activities for accurate forecasting, revenue projections and expenses within budget limits.
  • Ensures timely and accurate processing of all payments, including vendor invoices and individual reimbursements, and researches discrepancies.
  • Oversees creation of endowed and non-endowed funds, ensuring consistency and compliance with internal audit requirements.
  • Creates and distributes over 120 individualized monthly reports to various fund managers and administrators.
  • Initiates meetings with new fund managers to educate them on processes, reporting, and fund usage.
  • Monitors philanthropy funds to ensure alignment with donor intent and advises on underutilized funds.
  • Collaborates with Treasury and Accounting to resolve funds within miscellaneous revenue.
  • Validates and submits endowment spend to Treasury and financial summaries for annual reporting to donors.
  • Oversees gift entry in the philanthropy database and conducts reconciliations to ensure accuracy.
  • Manages data integration with the philanthropy database.
  • Develops business rules to meet compliance, data security, and reporting requirements.
  • Processes gifts and enters relevant information for prospects and donors in the philanthropy database.
  • Designs and executes fundraising and financial reports as needed for the Foundation.
  • Develops coding hierarchies for accurate reporting and analysis of giving campaigns and events.
  • Provides onboarding and database training to new Foundation team members.
  • Assesses current reporting protocols and implements improvements.
  • Performs other duties as assigned.

Requirements

  • Bachelor's degree in Accounting or related field of study.
  • Five (5) years of accounting and/or finance experience.

Nice-to-haves

  • Associate degree and eight (8) years of experience in accounting, finance, philanthropy, or database administration/management may be considered as equivalent substitution.
