About The Position

The Phase 1 Assessment Coordinator oversees the planning, coordination, and execution of student assessment processes in the first 14 months of the BYU School of Medicine curriculum. This role manages internal and external assessment logistics, including scheduling, proctor coordination, accommodations, assessment systems, and student/faculty communication. The position also supports reporting, basic data analysis, and compliance efforts related to assessment outcomes and accreditation. In addition, the coordinator helps prepare students for national exams and provides cross-functional support to the Phase 1 curriculum team. As part of the Phase 1 team, this role also helps manage student attendance in Phase 1. This role will also play an important part in supporting and fostering a spiritually enriching environment where students can deepen their testimonies of Jesus Christ while preparing for a lifetime of service as Christ-centered physicians.

Requirements

  • Bachelor’s degree and 2+ years of experience in higher education or academic testing.

Nice To Haves

  • Experience with ExamSoft, NBME/USMLE platforms, and medical education.
  • Working knowledge of learning management systems (LMS) (e.g., Canvas, Blackboard, VidaNovaVLE)
  • Working knowledge of medical school assessment software (ExamSoft or similar)
  • Knowledge of medical school curriculum structure (e.g., pre-clerkship / Phase 1 models)

Responsibilities

  • Manages the coordination and execution of all internal assessment processes for Phase 1 students.
  • Manages exam scheduling and day-of logistics, including room coordination, proctor assignments, student accommodations, noise-reduction measures, and communications with students and faculty.
  • Trains part-time assessment proctors (student employees and staff).
  • Trains new students during student orientation on how to use the assessment software.
  • Supports and troubleshoots assessment software problems on exam days, helping students successfully complete in-class assessments each week.
  • Responds to email from students with issues with the assessment software outside of class time.
  • Supports assessment infrastructure within VidaNovaVLE (Learning Management System) or other systems, including item banking, scoring workflows, and timely grade reporting.
  • Works with the Director of Assessment to monitor and implement overarching assessment structure, processes, and quality improvement.
  • Manages and coordinates external assessment processes and related systems, including UWorld and ScholarRx.
  • Coordinates NBME formative assessments and supports students in preparation for and completion of required national exams, including the USMLE Step 1.
  • Provides basic analysis of assessment data to inform School of Medicine leadership.
  • Serves as a liaison with the Office of Accreditation and Quality Improvement to support reporting and continuous improvement efforts related to assessment outcomes.
  • Trains students in how to use the attendance and absence web portal.
  • In collaboration with the Phase 1 team and Phase 1 Director, tracks and manages student attendance for Phase 1, ensuring accuracy and compliance with program requirements.
  • Administers the excused absence process, reviewing and approving requests related to illness and other valid circumstances.
  • Provides support to other Phase 1 team members in their respective roles, including needed cross-training among roles.
